Job Description:
We are seeking motivated and detail-oriented Fleet Admin to join our team. The ideal candidate will provide essential administrative, clerical, and reception support to the office. The Fleet Admin Support is responsible for supporting the daily operations of the company's fleet and equipment assets, ensuring all fleet assets are accurately tracked, maintained, and compliant. This role plays a key part in cost control by reviewing work orders, validating billing, and capturing all fleet-related expenses. The Fleet Administrator also assists with commercial insurance processes, including claims, renewals, registrations, and coordinating documentation for other departments. Additional responsibilities will include but are not limited to: Maintain accurate records of all fleet assets, including vehicles, equipment, VINs, assignments, mileage, and lifecycle status. Track preventive maintenance schedules and ensure timely service completion. Monitor fleet utilization and report on underused or high‑cost assets. Support onboarding/offboarding of fleet assets, including setup, transfers, and decommissioning. Perform general office duties such as answering phones, filing, and administrative support Review all fleet-related work orders for accuracy, completeness, and proper cost allocation. Identify discrepancies in vendor billing, labor hours, parts, and service charges. Capture and categorize all fleet expenses to ensure accurate cost reporting. Prepare cost summaries and documentation for AR billing and internal chargebacks. Assist with filing and tracking insurance claims for fleet incidents, accidents, and equipment damage. Coordinate with insurance carriers, adjusters, and internal stakeholders to ensure timely claim resolution. Support annual insurance renewals by gathering fleet data, verifying asset lists, and updating coverage details. Manage vehicle registrations, renewals, and compliance documentation for all states of operation. Prepare fleet cost reports, utilization summaries, and maintenance logs for leadership review. Maintain digital and physical fleet files, ensuring accuracy and audit readiness. Maintain up‑to‑date records of insurance certificates, titles, and regulatory documents. Strong multitasking and organizational skills Excellent communication and teamwork abilities Familiarity with fleet operations and basic accounting tasks preferred Ability to adapt and assist across various departments as needed
Job Requirements:
Experience in construction, oil & gas, transportation, or field‑service industries. Knowledge of DOT, state registration requirements, and fleet compliance standards. Familiarity with AR billing workflows and cost allocation. Authorized to Work in the U.S.
Reliable Source of Transportation Excellent Computer Literacy:
using tools such as iPads, billing software, KPA, SLACK etc. 2+ years of dispatch experience Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Strong organizational skills and attention to detail Excellent communication and interpersonal skills High school diploma or equivalent required Ability to manage multiple tasks and meet deadlines.
Physical Requirements:
Ability to perform essential job duties including standing and walking up to 4 hours at a time. Perform all essential functions repeatedly such as lift and carry items weighing up to 30 lbs. Ability to climb, balance, and stand on stairs and ladders. Why Join Our Team?
