Full Job Description Description:
The Fleet Maintenance Coordinator oversees the scheduling, tracking, and execution of maintenance and repair activities for company vehicles and equipment. This role ensures fleet readiness, regulatory compliance, and cost-effective maintenance operations by coordinating with mechanics, vendors, and internal departments. The ideal candidate is detail-oriented, organized, and skilled at managing multiple priorities in a fast-paced environment.
Requirements:
Coordinate and schedule preventive maintenance, inspections, and repairs for all fleet vehicles and equipment. Track and manage work orders, ensuring completion within established timelines. Maintain accurate maintenance records, service logs, and compliance documentation. Communicate with external vendors, repair shops, and parts suppliers to obtain quotes, authorize work, and ensure timely service. Assist with fleet asset management, warranty tracking, lifecycle planning, etc. Prepare routine reports on fleet status, maintenance costs, and operational performance. Qualifications High school diploma or equivalent required; associate degree in logistics, automotive technology, or related field preferred. 2+ years of experience in fleet maintenance coordination, transportation, logistics, or related operations. Working knowledge of vehicle systems, maintenance practices, and repair processes. Familiarity with DOT regulations and fleet compliance requirements. Proficiency with fleet management software, maintenance tracking systems, and Microsoft Office. Strong organizational skills with the ability to manage multiple priorities. Excellent communication and customer-service skills. Ability to analyze data, identify issues, and recommend solutions. Preferred Skills Experience with telematics platforms (e.g., Samsara, Zonar). Background in commercial vehicle maintenance or repair environments. Knowledge of parts ordering, inventory management, or vendor negotiation. Work Environment Office-based role with regular interaction in shop or yard environments. May require occasional travel to vendor locations or fleet sites.
