Key responsibilities include maintaining asset inventory, managing fueling systems, scheduling maintenance, processing vendor invoices, and generating utilization reports. This role ensures compliance with safety, licensing, and budgetary requirements. The Fleet Asset Coordinator is responsible for the overall administration, tracking, and financial reconciliation of company-owned vehicles. This role ensures maximum asset utilization, regulatory compliance, and accurate recording of maintenance costs and depreciation.
Key Responsibilities Asset Lifecycle Management :
Assist with the procurement of new vehicles and equipment in accordance with company specifications and budget guidelines. Maintain comprehensive inventory records for all vehicles and equipment, including acquisition, registration, titling, and disposal.
Financial Accounting & Reporting :
Track expenses related to maintenance, fuel, insurance, and depreciation. Perform month-end close tasks, including job and equipment costing. Prepare monthly financial reports to provide insights into fleet needs, performance and cost-saving opportunities.
Compliance & Documentation :
Maintain accurate records for vehicle registration, licensing, and insurance. Ensure compliance with state and federal regulations, such as DOT or IFTA filings.
Inventory & Audit :
Conduct annual physical inventory audits to verify the location and condition of all assets. Maintain the Fleet Management Information System (FMIS) to ensure data integrity.
Maintenance Coordination:
Schedule preventative maintenance, manage repairs, and track vendor performance to ensure safety compliance.
System Management:
Utilize fleet management software to track data, ensuring accuracy for reporting and auditing.
Required Qualifications Education :
Bachelor's or Associate's degree in Accounting, Finance, Logistics, Supply Chain Management or Business Administration.
Experience :
3-5 years of experience in fleet operations, asset management, or corporate accounting.
Technical Proficiency :
Advanced skills in Microsoft Excel and experience with specialized fleet or asset management software (e.g., Assetworks, PeopleSoft, or SAP). Key Competencies Attention to detail Time management and prioritization Regulatory compliance awareness Data tracking and reporting Ability to work independently and collaboratively Excellent communication and organizational skills. Ability to work independently in a fast-paced environment. Experience with GPS telematics systems.
