Job description: Shipping & Receiving Supervisor / Manager (cGMP & FDA-Regulated Warehouse)
Reports To:
Director of Operations UPI Global Ingredients (UPI) is a supplier of natural ingredients and chemicals to the Personal Care, Food & Beverage, Pharmaceutical, Veterinary, Health & Nutrition, Flavor & Fragrance, HI&I, Ag & Feed, and Industrial trades.​ Position Summary The Shipping & Receiving Supervisor / Manager is responsible for the daily oversight, coordination, and execution of all shipping and receiving activities within a cGMP- and FDA-regulated warehouse environment. This role ensures that materials and documentation flow accurately, efficiently, and compliantly in accordance with FDA regulations, cGMP requirements, food safety programs, and
ISO 9001
quality standards. This position provides direct supervision, coaching, training, and performance monitoring of warehouse personnel, leads by example, and supports continuous improvement initiatives. The Supervisor partners closely with Quality, Operations, and Supply Chain to ensure on-time shipments, accurate inventory, safe handling of regulated materials, and audit-ready documentation.
Key Responsibilities:
Leadership & Supervision
  • Supervise, mentor, and develop warehouse personnel, conducting performance coaching, feedback, and corrective actions.
  • Assign daily work schedules and allocate labor resources to meet shipping deadlines and operational priorities.
  • Lead by example to ensure compliance with cGMP, food safety, safety, and quality standards.
  • Cross-train employees and serve as backup across warehouse functions as needed. Shipping & Receiving Operations
  • Oversee all inbound/outbound shipments, ensuring accuracy in items, quantities, lots, and documentation.
  • Ensure orders prepared/staged/shipped per SOPs and customer specs.
  • Serve as hands-on supervisor performing picking, loading, paperwork with team.
  • Ensure hazmat handled/stored/shipped/documented per regulations. cGMP, FDA, and Quality Compliance
  • Ensure daily compliance with cGMP, FDA, food safety, and
ISO 9001
requirements.
  • Enforce adherence to approved SOPs, work instructions, and quality policies.
  • Support internal and external audits, inspections, and regulatory visits.
  • Write, review, and maintain work instructions and job aids.
  • Identify, document, investigate, and resolve deviations, errors, and discrepancies. Inventory Control & ERP Accuracy
  • Oversee ERP inventory transactions, ensuring real-time accuracy.
  • Coordinate and support cycle counts and physical inventories.
  • Monitor levels of raw materials, packaging, chemicals, and supplies.
  • Investigate and resolve inventory variances and discrepancies.
  • Maintain
FIFO/FEFO
practices as required by product and regulatory requirements. Safety, Housekeeping & Equipment
  • Maintain a clean, organized, and safe warehouse environment.
  • Ensure housekeeping and maintenance checklists are completed and documented.
  • Enforce proper PPE use and safety requirement compliance.
  • Ensure safe operation of forklifts and warehouse equipment.
  • Support employee training and qualification on material handling equipment. Communication & Continuous Improvement
  • Communicate effectively with Operations, Quality, Customer Service, and Management.
  • Provide timely updates on shipping status, inventory risks, and operational issues.
  • Identify opportunities for process improvements.
  • Support CAPA implementation.
  • Participate in continuous improvement and lean initiatives.
Education, Experience & Qualifications Required Qualifications:
  • Associate degree or higher (Bachelor's preferred).
  • Experience in cGMP/FDA-regulated environment (food, pharma, chemical, or similar).
  • Prior supervisory/lead experience in shipping, receiving, or warehouse operations.
  • Strong leadership, coaching, organization, and communication skills.
  • High attention to detail, SOP/regulatory interpretation, problem-solving mindset.
  • Ability to thrive in fast-paced, regulated environments.
  • Ability to perform warehouse work, including lifting/pushing/pulling materials and extended standing, walking, or bending.
  • Ability to operate equipment while using required PPE.
Preferred Qualifications:
  • Knowledge of ISO 9001, food safety systems, ERP/inventory management.
  • Forklift/warehouse equipment operation; hazmat handling/transport regs.
Pay:
$38,000.00 - $55,000.00 per year
