Job Description
EPSI is a nonprofit facility support services company headquartered in Austin, Texas. EPSI specializes in custodial services, grounds maintenance, environmental services, and facility support for government and commercial clients throughout multiple states. Our mission is to provide meaningful career paths for people with disabilities while delivering reliable, high-quality services with integrity and professionalism. EPSI seeks a dependable, organized, and experience maintenance professional to serve as our Warehouse & Fleet Maintenance Coordinator. This position will support EPSI's growing Grounds Maintenance Department's vehicle and equipment inventory. The ideal candidate will be responsible for the following tasks: Maintain a clean and orderly warehouse operation Oversee EPSI's preventive maintenance program for company vehicles and grounds maintenance equipment Coordinate scheduled and unscheduled equipment and vehicle repairs with vendors Ensure EPSI Grounds Maintenance crews have safe, reliable equipment to successfully execute daily operations This role is critical to EPSI's operational reliability. It directly supports our mission of delivering high-quality facility and grounds maintenance services while creating meaningful employment opportunities for people with disabilities. EPSI's Preventive Maintenance program includes asset tracking; service interval scheduling; operator accountability inspections; repair vs. replacement analysis; and centralized maintenance tracking. Position Summary The Warehouse & Fleet Maintenance Coordinator is responsible for the following: Maintain a clean, organized, safe, and functional warehouse environment Manage inventory and accountability of Grounds Maintenance equipment and supplies Coordinate preventive maintenance schedules for vehicles and powered equipment Perform minor repairs and inspections Coordinate outsourced repairs with service vendors and dealerships Track equipment usage, maintenance costs, and downtime Support operational readiness for EPSI grounds maintenance crews This position combines warehouse operations, logistics coordination, equipment accountability, and fleet/equipment maintenance oversight into one highly visible operational support role.
Essential Duties & Responsibilities Warehouse Operations:
Maintain warehouse cleanliness, organization, and safety standards Organize equipment, tools, chemicals, and consumable inventory Track asset issuance and returns Maintain accurate inventory records Assist with loading/unloading equipment and materials Ensure warehouse compliance with OSHA and safety standards Coordinate disposal of damaged or obsolete equipment Fleet & Equipment Preventive Maintenance Maintain EPSI's Asset Registry for all vehicles and grounds equipment Schedule and track Preventive Maintenance (PM) intervals for: Trucks Trailers Commercial mowers Trimmers Blowers Chainsaws Small engine equipment EPSI's PM program includes: Oil changes every 50-100 operating hours for equipment Blade sharpening intervals Air filter inspections Tire rotations and brake inspections for vehicles Centralized maintenance tracking and downtime monitoring Equipment Inspections & Repairs Conduct routine equipment inspections Perform minor repairs and maintenance, including: Blade replacement Belt replacement Greasing and lubrication Filter replacement Battery maintenance Tire inspections Minor troubleshooting Coordinate outsourced repairs with: Small engine repair vendors Fleet maintenance providers Equipment dealerships EPSI anticipates using a hybrid maintenance model that combines internal preventive maintenance with outsourced major repairs. Administrative & Tracking Responsibilities Maintain maintenance logs and inspection records Track equipment downtime and repair history Assist with repair-vs-replacement recommendations Monitor maintenance costs against equipment lifecycle expectations Assist leadership with budgeting and operational planningQualifications Required:
High school diploma or GED Valid Texas driver's license with clean driving record Basic mechanical aptitude and troubleshooting ability Experience with landscaping or grounds maintenance equipment Ability to lift 50+ pounds Strong organizational and time management skills Comfortable using Excel, email, and basic computer systemsPreferred:
Experience managing a warehouse or fleet operation Small engine repair experience Familiarity with commercial landscaping equipment Experience with FleetSharp, Fleetio, UpKeep, MaintainX, or similar tracking systems OSHA safety knowledge Ideal Candidate Traits The ideal candidate for this position is: Highly organized Self-motivated Reliable and punctual Mechanically inclined Safety-focused Calm under pressure Able to support multiple field crews simultaneously This position is ideal for someone who enjoys building systems, maintaining order, solving operational problems, and supporting a mission-driven organization.Job Type:
Full-Time Schedule:
Monday through Friday, 7:00 AM - 3:30 PM. Overtime opportunities may occasionally be available.
