The role ensures proper VO/WMS entries, shipment documentation, returns processing, and communication with warehouse, production, and receiving teams. This position supports the Fulfillment Manager by overseeing administrative workflow, maintaining audit ready records, and ensuring smooth operational flow between facilities. Key Responsibilities Documentation and Reporting Prepare and verify shipping documentation, labels, and VO/WMS entries for outbound shipments. Maintain accurate and organized Fulfillment records for audits, customer requirements, and traceability. Review finished goods documentation for completeness, including lot numbers, quantities, and customer specifications. Verify and document returns; ensure returned materials match system records and physical inventory. Maintain organized systems for storing and retrieving shipment, transfer, and return documentation. Support continuous improvement by identifying documentation gaps and proposing workflow enhancements. Fulfillment Coordination Coordinate with the Fulfillment Manager on daily shipping priorities, staging needs, and workflow planning. Work with the Warehouse Production Coordinator to determine staging locations for finished goods and WIP, ensuring aisles remain accessible. Coordinate unloading and staging of finished goods transferred from the Allen facility. Communicate with Inventory Specialist, Warehouse Lead (Allen), Receiving Coordinator, and Production teams to maintain operational flow. Assist with customer specific documentation requirements as needed. Inventory and Quality Support Ensure finished goods are properly tagged, labeled, and staged according to customer and internal requirements. Support discrepancy investigations related to finished goods, returns, or VO/WMS entries. Maintain clean, organized, and audit ready finished goods inventory areas. Compliance and Training Ensure adherence to company policies, SOPs, safety protocols, and cGMP guidelines. Assist in training Fulfillment Specialists and clerical staff on documentation, VO/WMS processes, and workflow standards. Maintain a professional, cooperative, and positive working relationship with all departments. General Duties Maintain regular attendance and follow all safety guidelines. Assist Fulfillment operations when requested by the Fulfillment Manager. Perform other duties as assigned. Reports To Fulfillment Manager Qualifications Experience Minimum 3 years of experience in fulfillment, warehousing, logistics, or administrative support. Education High school diploma or GED equivalent. Skills Strong verbal, written, and listening skills. Ability to multitask, prioritize, and adapt to changing responsibilities. Proficiency in VO/WMS systems or willingness to learn. Strong attention to detail and documentation accuracy. Basic mathematical skills. Ability to work cooperatively with cross functional teams. Certification in forklift operation and knowledge of OSHA guidelines. Physical Demands Frequently required to sit, reach with hands and arms, and stoop, kneel, crouch, or crawl. Ability to lift to 50 lbs. and push/pull up to 250 lbs. Working Conditions Must be able to work in a non climate controlled warehouse during all seasons. May encounter loud noise levels due to forklifts and trucks. This position also supports the administration and assessment of inventory data. Flexibility in scheduling is required to ensure operational success. Occasional overtime when required, including evenings, and weekend shifts.
