Job Descriptions:
Coordinate warranty cases between customers, dealers, technicians, and the factory while maintaining accurate records in Sage and FileMaker. Provide operational support to service and technical teams by assisting with service coordination, parts verifications, and documentation to minimize machine downtime. Support warehouse operations by processing warranty parts requests, assisting with inventory management, and maintaining tools and equipment readiness. Handle logistics and shipping coordination across multiple countries and process related financial and travel.
Job Responsibilities:
Duties include but are not limited to: Coordinate warranty cases between customers, dealers, technicians, and the factory to ensure proper communication and documentation. Generate and maintain warranty records, purchase orders, sales orders, and invoices in the Sage system and FileMaker. Provide operational support to service and tech support by assisting with service coordination and responding to service-related requests. Support technicians with parts verification, documentation, and coordination to help minimize machine downtime. Assist with machine coordination in the warehouse, including processing warranty parts requests for new machines identified during technician inspections and ensuring proper documentation and parts processing. Assist with inventory management of tools, parts, and service equipment; support procurement, inventory tracking and warehouse organization to maintain operational readiness. Process financial and travel documentation including payment vouchers, receipts, and expense reports, ensuring timely submission to accounting. Coordinate logistics across the U.S., Canada, Mexico, Chile, and Taiwan; create FedEx, UPS, and DHL shipping labels and assist with transportation of equipment and parts to customers and dealers.
Qualifications:
Strong organizational and multitasking skills Experience in customer or warranty service, warehouse operations, or service coordination (preferred) Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint) Good written and verbal communication skills Familiar with ERP/CRM systems (preferred) Ability to track records accurately, and meet deadlines Ability to work independently and prioritize multiple tasks in a fast-paced environment
