Job Description Summary:
The Materials Management Specialist supports all aspects of supply chain. This role is responsible for inventory control, shipping and receiving, stock replenishment, and equipment distribution to ensure timely and accurate delivery of supplies for patient care. The specialist utilizes materials management systems, including bar code scanners and handheld devices, to maintain accurate inventory records and process supply charges. Key duties include conducting cycle counts, verifying vendor deliveries, restocking shelves using proper rotation, and resolving discrepancies. The position requires strong attention to detail, flexibility in performing various supply chain functions, and effective communication to address supply issues. Additional responsibilities include maintaining clean and organized supply rooms, assisting with staff training, and providing exceptional customer service. The role may involve rotating shifts, weekends, holidays, and mandatory participation in physical inventories. Position Responsibilities Responsible for working in material Management environment supporting all facets of supply chain operations including inventory management, shipping and receiving, delivery, stock replenishment departmentally in the clinical department for both
MSMC & MHI.
Uses and works with material management distribution systems supporting inventory management processes including computer systems, bar code scanners and hand held computer devices. Conducts periodic cycle counts for assigned areas and demonstrates high level of accuracy with inventory management, supply replenishment and equipment distribution processes. Demonstrates ability to be flexible in performing duties in supply chain operations including receiving, materials distribution, materials delivery and departmental supply replenishment functions as required. Accurately records patient or department charges to account for all items issued. Collect and process supply charges, credits and return of supplies for patient care and clinical areas. Accurately places all supplies in their proper locations; ensuring label faces outward for visibility of supply description identification. Restocks shelves utilizing stock rotation process, to eliminate sterile supplies expiring before products are used. Accurately reports supply discrepancies for assigned areas to Unit Manager or Charge Nurse after inventory replenishment has been completed for each clinical area supply room. This report provides for the reconciliation process of charges to patients that were not properly charged. Ensures supply systems are functional on all assigned patient care and ancillary areas serviced by Material Management and report any problem to the Supervisor. Communicates supply system related problems that affect service for patient care and clinical departments. Communicates all supply stock-outs, major shortages or supply problems to the Supervisor. Replaces all bar code labels that are damaged or cannot be scanned to ensure the capture of all supply activity. Receives items from vendors accurately verifying all pertinent information including matching item to packing slip and purchase order. Processes data entry information of receipts correctly into computer item. Obtains signatures to account for all received merchandise when delivered. All merchandise requires signatures form the department receiving goods as acceptance of delivery. Ensures stock-out communication forms are documented accurately and that the communication process is followed. Ensures that supply rooms are kept neat, clean and that supplies are placed in their designated locations. Responds to customer request or concerns promptly and professionally with a high level of customer service skills. Assists in the training of new staff as it relates to supply replenishment processes for patient care and clinical areas as directed by the Supervisor. Reports for scheduled shift on time, prepared to assume any materials management duty assigned. Receives assignments from Supervisor and completes tasks as required. Ensures work schedules are followed without deviation unless instructed by the Manager or Supervisor. Works overtime when needed as requested by Supervisor. Physical inventories are required (mandatory) workdays for Material Management staff. Rotates shifts as required including weekends and holidays as required to meet demands in patient care. Answers telephones in a professional manner according to departmental protocol. Follows universal precautions and infection control procedures. Qualifications License/Registration/Certification None Education High School diploma/GED or equivalent experience. Experience 1 year experience as an Inventory Control Clerk or work related experience required.
