Job Description

General Description:
The purpose of this job within the organization is to perform a variety of daily warehouse functions including purchasing, shipping and receiving, loading and unloading inventories, storing, organizing and distributing goods while ensuring the workspace remains safe, clean and efficient. Maintain purchasing materials and inventory records for both Central Stores and Sign Shop. Assist supervisors with work order management and procurement. This is a critical role, suited for someone who takes ownership, enjoys physical work, is highly organized, and comfortable working alone most of the time. This job works under moderate supervision according to set procedures.
Duties and Responsibilities:
The functions listed below are those that represent the majority of the time spent working in this job/class. Management may assign additional functions related to the type of work of the job/class as necessary.
Essential Functions:
  • Purchase material and supplies needed for the city's daily warehouse functions and products.
  • Enter requisitions into ERP system.
  • Input and maintain inventory records for all transactions related to sourcing, procurement, and the receipt and issuance of inventory materials.
  • Monitor and keep materials and equipment properly stocked and in an appropriate working condition; verify supply count against documentation.
  • Perform physical inventory counts and help reconcile discrepancies.
  • Monitor and manage daily inventory work orders to ensure accurate processing and timely closeouts within a 24-hour period.
  • Source inventory through verbal, written, and email communication with authorized vendors, online services, and manual resources.
  • Operate forklift and mechanical handling equipment to load and unload inventory; assist daily function of the workers. Essential Functions cont.
  • Order and maintain fuel and fuel tanks for daily operations, keep track of the fuel inventory through the Fuel Master, and run monthly transaction reports to allocate fuel for each department.
  • Conduct regular safety checks and maintain compliance with regulatory requirements with Manatee County.
  • Maintain Safety Data Sheets on all inventory with potential chemical hazards and safety precautions.
  • Performs routine warehouse facility maintenance to ensure a clean and safe work environment.
Additional Duties:
Communicates verbally and electronically to assist department heads, supervisors, employees, and vendors to ensure accuracy of inventory issuance and project management. As needed and requested, enters requisitions for Public Works supervisors. Responsible for creating, maintaining and updating Standard Operating Procedures related to inventory control processes to ensure accuracy, compliance, and operational efficiency. As needed and requested, train new employees in how to initiate work orders and submit inventory requests. Supports Finance in administering inventory control processes related to periodic inventory counts and the annual audit. Performs related work as assigned.

Reads technical instructions, procedures manuals and charts to solve practical problems, such as assembly instruction for tools, routine office equipment operating instructions, composes routine reports and specialized reports, forms, and business letters, with proper format; speaks compound sentences using normal grammar and word form.
Judgment Requirements:
Apply basic judgment to follow standard procedures for receiving, storing, and distributing materials. Recognizes discrepancies in orders or inventory and reports them accordingly. Maintains long range goals, planning and methodologies, to ensure consistent inventory counts and stock balances. Decision making is vital to the job, affecting the entire organization.
Complexity of Work:
Requires normal attention with short periods of concentration for accurate results and occasional exposure to unusual pressure.
Impact of Errors:
The impact of errors is moderate - affects those in work unit and possibly the entire organization.
Physical Demands:
Performs medium work that involves walking, standing, stooping, jumping, , stretching, or lifting all of the time and also involves exerting between 20 and 50 pounds of force on a regular and recurring basis or exceptional skill, adeptness, and speed in the use of fingers, hands, or limbs in tasks involving very close tolerances or limits of accuracy.
Equipment Usage:
Leads or handles machines, tools, equipment or work aids involving moderate latitude for judgment regarding attainment of a standard or in selecting appropriate items. Must have experience driving a forklift.
Unavoidable Hazards:
Involves routine and frequent exposureto extreme heat and/or cold, wet or humid conditions.
Safety of Others:
Maintains physical inventory placement and storage in a safe and responsible manner to ensure the safety of all while in the warehouse and avoid potential hazards.
Minimum Education and Experience Requirements:
  • Requires High School graduation or GED equivalent.
  • Basic math and computer skills (Excel and inventory management software required.)
  • Strong attention to detail and organizational skills.
  • Ability to follow instructions and work independently.
Special Certifications and Licenses:
  • Florida Driver License
  • Forklift Driver Certification.
