JOB OVERVIEW
The Warehouse Operations Specialist owns returns, vendor RMA, and GK Shield claims processing for GoKeyless Care. Reporting to the Warehouse Operations Manager, this role keeps returns moving accurately, resolves Shield redemptions and claims end-to-end, and maintains inventory accuracy through weekly cycle counts. It is a customer-facing role — the Specialist makes outbound calls to customers on returns, RMAs, and claims from time to time. The seat is also cross-trained to support warehouse fulfillment and product configuration, keeping the team from being single-threaded during absences or peak volume. This is a customer-facing operations role, not a general support or installation role. The Warehouse Operations Specialist does not work the general support queue, schedule installs, or approve RMAs — the seat exists to process the work of returns, claims, and inventory accurately, communicate directly with customers on those items, and support warehouse and configuration when the team needs it.
KEY RESPONSIBILITIES
Own Returns, RMA, and GK Shield Claims Process customer returns and vendor RMAs (VRMA) accurately and on time, following the returns SOP and approval matrix. Resolve GK Shield redemptions and claims end-to-end, including outbound customer calls. Document claim diagnostics with precision — vendor recovery and manufacturer warranty pass-through depend on clean records. Hand refund processing to Finance and log all status changes in NetSuite as the system of record. Communicate Directly with Customers Make outbound calls to customers to resolve returns, RMA status, and GK Shield claims clearly and professionally. Set accurate expectations on timing, replacements, and next steps, and keep the customer informed through resolution. Maintain Inventory Accuracy Perform weekly cycle counts to the Warehouse Operations Manager's inventory standards. Flag count discrepancies and reorder triggers; support the stocking program with accurate on-hand data. Keep NetSuite inventory records aligned to physical stock. Support Warehouse Fulfillment Cross-train on Warehouse Specialist duties — receiving, pick/pack/ship — and step in during absences and peak volume. Support outbound quality and pack accuracy to reduce fulfillment errors and downstream returns. Support Product Configuration Cross-train to Product Configuration standards under the Product Configuration Specialist; handle keying and basic configuration during absences and overflow. Complete configuration work to standard, with quality validated by the Product Configuration Specialist. Follow Process and Drive Continuous Improvement Follow returns, claims, and inventory SOPs consistently; surface gaps for improvement. Use Claude and other AI tools to speed documentation, lookups, and routine processing.

QUALIFICATIONS
Must-Haves Strong attention to detail and accuracy in transactional, record-driven work. ERP experience (NetSuite strongly preferred) — the role runs in NetSuite. Warehouse experience. Customer-facing communication — written and verbal. Mechanical aptitude. Process discipline — a reliable SOP follower. Independent, self-directed executor. Coachable and growth-oriented. AI fluency — hands-on use of AI tools like Claude to speed documentation, lookups, and routine work. Nice-to-Haves Returns or RMA processing experience. Microsoft 365 proficiency. Lift truck (forklift) certification.
EDUCATION
High school diploma or equivalent required; associate's degree or a technical/warehouse certification a plus, or equivalent warehouse and operations experience.
