Job Summary:
Ensure efficient operation of school administrative office and provide clerical services for the school's administrative staff.
Qualifications:
High school diploma or GED Proficient word processing and file maintenance skills Effective organizational, communication, and interpersonal skills Ability to use computer and software to develop spreadsheets, databases, and do word processing Ability to edit, proofread and process official documents. Demonstrate good judgment and diplomacy. Knowledge of basic accounting principles Ability to maintain accurate and auditable records Ability to follow verbal and written instructions Ability to perform a variety of tasks often changing assignment on short notice Ability to manage multiple priorities effectively.
Major Responsibilities and Duties:
Ensure that the front counter is manned at all times to ensure school safety. Receive incoming calls, take reliable messages, and route to appropriate staff. Greet and direct visitors to appropriate location. Assist parents in checking students in and out of school using School Check-in. Maintain visitor log and issue visitor passes, utilizing School Check-in System. Check-out visitors utilizing Check-In System. Maintain a daily teacher attendance log and records for substitute teachers ensuring all classes are covered with substitute teachers if needed. Maintain confidentiality. Assist students, teachers, and parents as needed. Prepare campus communications, weekly correspondence to staff, forms, duty schedules, or reports using a personal computer. Maintain computerized files using personal computer including reports, employee roster, and mailing lists. Prepare mailings, mail outs and labels using personal computer. Receive, sort, and distribute, or deliver mail and other deliveries. Call and arrange pick-up of necessary packages. Notify Post Office and other delivery drivers of school closure dates. Prepare instructional materials, meeting agendas, and campus communication as requested. Monitor and process personnel time records including paraprofessional time records, leave requests and reports. Compile information and submit to central office according to established deadlines. Maintain web school calendar of events as well as campus internal calendar and notifying administration office of scheduled events for the superintendent's calendar. Schedule meetings and appointments and maintain calendar for principal. Assist with planning, preparation, and setup of faculty meetings and campus activities. Prepare and distribute bus passes, and parking stickers. Ensuring Student of the Month duties are completed and reported to the administration office for the monthly student recognition at the school board meetings. Order, receive, store, and issue supplies and equipment as well as maintaining inventory of supplies. Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures. Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence. Any other necessary tasks not listed for the school's administrative staff.
