Human Resources Job Statement As the HR & Talent Acquisition Coordinator , you will provide administrative and operational support to the Human Resources department by managing administrative tasks, maintaining employee records, assisting with recruitment and onboarding, and ensuring compliance with company policies and regulations. This role serves as a key point of contact for employees, leaders, candidates, and external vendors by ensuring efficient HR operations and delivering exceptional customer service and positive employee experience. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment. Essential Duties Human Resources Administrative Support Serve as the first point of contact & assist employees and leaders with HR-related questions, forms, processes, and general support. Route complex issues to appropriate team members. Maintain and organize confidential employee files and HR records in compliance with company policies and legal requirements. Process travel requests, travel reimbursements, and related documentation. Reconcile purchasing card (P-Card) transactions and maintain accurate expense records and receipts. Support onboarding and offboarding activities, including preparing new hire packets, facilitating new employee orientation, and coordinating documentation. Prepare HR correspondence, reports, spreadsheets, and presentations. Assist with scheduling meetings, training sessions, and employee events. Monitor and maintain HR supplies, records, and shared resources. Support HR projects, audits, employee communications, and compliance initiatives as assigned. Work with other departments throughout the organization. Assist with performance management processes and apprenticeship programs, as needed. Assist employees with benefit enrollment, updates, and claim information, as needed. Be engaged in self-development, which may consist of conferences, workshops, training, and travel for industry events or job fairs. Perform job duties/responsibilities in a timely and accurate manner, and other duties as assigned. Additional Duties Recruiting & Talent Acquisition Support Coordinate and schedule candidate interviews with hiring managers and interview panels. Scan and upload notes in the applicant tracking system (ATS). Communicate professionally with candidates throughout the recruitment process. Assist with posting job advertisements on internal and external platforms. Facilitate pre-employment activities, including background checks, employment verifications, reference checks, and drug screenings. Track candidate progress within the applicant tracking system (ATS). Coordinate offer letters and onboarding logistics for new hires. Maintain recruiting documentation and hiring records. Support recruitment events, career fairs, and workforce development initiatives.Job Requirements Education/Training/Certifications:
Associate degree preferred. Concentration in Human Resources, Business Administration or HR related Certificates/Certifications, preferred. Minimum of two (2) years of administrative, HR, or recruiting experience. Prior experience working in roles such as an HR Scheduler, HR Communications Specialist/HR Marketing is considered a plus. Must be proficient with Microsoft suite, e.g. Word, Excel, Outlook, & PowerPoint. Experience in using Applicant Tracking Systems (ATS) & HRIS systems; experience with SuccessFactors, SharePoint, & Power BI, preferred. Familiarity with employment laws, FMLA, ADA, FLSA, EEO, etc. Must possess and demonstrate extensive soft skills in communication, both verbal and written, organizational, time management, and the ability to handle confidential information with professionalism and discretion. Meet tight deadlines, work well under pressure, and have demonstrated ability to handle multiple competing priorities with minimal errors, work in a fast-paced environment, the ability to pivot as needed and ability to work with and communicate with employees at all levels of the organization. You must possess strong customer service and interpersonal skills. Additional Requirements Basic Office Equipment. Occasional visits to operational sites. Sedentary in an office environment, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear. The employee must occasionally lift or move up to 20 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. During system emergencies, everyone is involved, so expect to work long hours, and other duties, outside of your day-to-day responsibilities.
