Job Summary:
The Celebrations Coordinator is responsible for creating unforgettable celebration experiences for guests of Camp Margaritaville Auburndale. This role manages every aspect of the birthday party lifecycle, from the initial guest inquiry through flawless event execution, ensuring each celebration reflects the fun, laid-back spirit of the Margaritaville brand.
Duties and Responsibilities:
Guest Inquiry & Planning
  • Respond promptly to birthday party inquiries and bookings via phone, email, and in-person consultations
  • Prepare and send event proposals, contracts, and invoices; collect deposits and final payments
  • Maintain accurate booking records in the resort's event management system Event Coordination
  • Develop and communicate event timelines, BEO documents, and setup room layouts for each party
  • Collaborate with the banquets and catering team on menus and dietary accommodations
  • Work with resort departments (housekeeping, F&B, recreation, rangers) to ensure seamless logistics On-Site Execution
  • Oversee setup and breakdown of all birthday party spaces, ensuring set up matches guest expectations
  • Serve as the primary point of contact for the birthday party host throughout the event
  • Work closely with Operations, Food & Beverage, and Catering teams to ensure seamless group execution and guest satisfaction.
  • Troubleshoot issues quickly and gracefully, maintaining a positive, energetic atmosphere
  • Capture event photos/videos for resort marketing as directed (with guest consent) Post-Event & Administration
  • Complete room reset checklist to ensure space is cleaned and ready for upcoming events or group tours.
  • Follow up with guests post-event to collect feedback and online reviews
  • Maintain inventory of party supplies and coordinate replenishment as needed
Qualifications & Skills:
  • High School Diploma or equivalent experience
  • 1- 3 years' experience in similar role such as event planning preferred but not required
  • Exceptional organizational skills with the ability to manage multiple events simultaneously
  • Must be a self-starting team player that contributes positive energy
  • Strong interpersonal skills and the ability to work in a team-oriented environment
  • Comfortable speaking to guest and event hosts
  • Detail minded and strong organization skills
  • Ability to manage multiple priorities and reprioritize when necessary
  • Computer proficiency
  • Proactive personality and work style
  • Knowledge of Triple Seat or Real Time Reservations software is preferred, but not required
  • Ability to lift up to 30 lbs and walk long distances when necessary is required
  • Ability to work evenings, weekends and holidays as required Additional 10% service fee along with hourly rate of $15.
