Job Description
JOB DESCRIPTION TITLE
Church Secretary PURPOSE Perform general office work, thus relieving the ministerial staff of executive and clerical duties. The secretary is on the frontline and is often the first person the public sees or talks to. The secretary must create an environment that is inviting to people passing through daily.FUNCTION
The Church Secretary is to perform secretarial duties for the staff, boards and organizations of the church, as well as routine office duties that include basic bookkeeping responsibilities and skills acting as the church treasurer with the supervision of the Finance Committee.ACCOUNTABILITY
The Church Secretary is accountable to the Pastor, who is the Head of Staff, and the personnel committee, but will work closely with the Finance Committee Chair.BASIC COMMITMENT
The church secretary does not need to be a member of the church or a Presbyterian. The position does call for a basic commitment to the vision and mission of the church.PERSONAL COMMITMENT
As a church employee and team member, the Church Secretary must be a professing Christian who believes in Jesus Christ as his/her personal Lord and Savior.OFFICE HOURS
The office hours are Monday through Friday between the hours of 8:00 am and 2:00 pmSALARY:
Hourly rate $15.00-$18.00 per hourRESPONSIBILITIES
Handles most telephone communications and directs callers or messages to the proper staff, officers, or members of the congregation. Serves as receptionist and maintains daily physical presence in the church office. Has basic bookkeeping responsibilities under the supervision of the Finance Committee such as bill payment, check preparation, making deposits and recording of receipts. Handles correspondence which does not require the attention of the Pastor or Board Chairpersons. Sets up, maintains, and retains appropriate correspondence. Responsible for responding to incoming mail and correspondence outgoing from church and related groups of the church. Maintains office and church calendars, updating each with listings of worship services, meetings, special events, weddings, and non-church group functions. Takes all requests for building usage and submits for approval by Property Chair and/or Session. Responsible for the copier as the primary person to print and make copies of things including, but not limited to: the weekly bulletin, the monthly newsletter, committee meeting minutes. Responsible for sending out weekly email announcements to the congregation. Maintains and updates record of member names, and changes to member names, addresses, telephone numbers, email addresses, and new member information. Orders all office supplies, flowers, books, and other published materials. Maintains and orders appropriate inventory levels of supplies and other materials. Coordinate the church on-line presence (social media, Facebook, and Website) Be willing to grow into new tasks as programs grow at the church Meets bi-annually with the Pastor and Personnel Committee to establish goals and objectives for the next year. Attends staff meetings and Session meetings when called to by the Pastor. Performs other duties as assigned by the Pastor.SKILLS, APTITUDES, AND REQUIREMENTS
Demonstrates a warm welcome to visitors, members, and strangers who come to and call the office as the first point of contact for the church. Has basic bookkeeping skills with attention to detail (training can be provided). Ability to operate all office equipment, including but not limited to: a. Telephone and automatic answering machine b. Desktop computer, with software such as Microsoft Office (Word, Excel, Power Point), graphics, label generator, Google Drive, Mailchimp, etc. c. Photo-copy machine, and d. Electronic Sign Board Good verbal and written communication skills. Fast and accurate keyboard skills. Strong personal initiative and ability to make common sense decisions. Ability to manage and prioritize work requests from multiple individuals.QUALIFICATIONS
The Church Secretary shall: Have a neat, clean, wholesome appearance, reflecting the respect and atmosphere belonging to a church. Have a pleasant, upbeat, and friendly attitude. Demonstrate a high level of trust and integrity; total confidentiality is a must. Be able to anticipate and prioritize the workload. Be knowledgeable and creative in operating the Microsoft Office suite of software programs and be willing to learn other software as required (for example, Power Church) Be able to work with each member of the staff. Be willing to help a member of the congregation or to listen to someone in need in the absence of the pastor. Be compassionate but firm when dealing with persons who call asking for financial assistance.PERFORMANCE REVIEW
The Pastor and the Personnel Committee Chair will conduct a performance review of this position at least bi-annuallyPay:
