Our team includes four doctors and five support staff. We are an integrative ambulatory clinic that offers a full range of on-farm diagnostics and treatments, including digital radiology, ultrasound, gastroscope, shockwave, laser, bloodwork, and dentistry, along with acupuncture and chiropractic services. Tryon Equine Mobile continues its mission to provide quality niche care to our clients while offering veterinarians and staff an innovative and collaborative working environment. We are seeking a Client Care Coordinator to join our growing team in Troutman, North Carolina , area. The successful candidate will be an upbeat problem-solver with active-listening and superb customer service skills, exhibiting a compassionate and welcoming spirit via phone and in-person. The Client Care Coordinator is responsible for performing a variety of clerical, laboratory and client service duties and will be able to adapt quickly to unforeseen changes with positivity, patience, and efficiency, supporting clients and fellow team members with care and the highest level of attentiveness. Essential Duties and Responsibilities Utilize the Practice Management Software (HVMS) efficiently. Provide excellent customer service to our clients and foster client relationships with the practice. Schedule appointments efficiently, accounting for urgency location, length, and drive-time. Maintain clinic email and voicemail, responding in a timely manner. Maintain cleanliness and organization of assigned areas in office. Create or complete invoices then bill appropriately according to the clients' specifications. Maintain practice required paperwork such as discharge forms, external laboratory forms, Coggins forms, Health Certificate, New Client Forms, Flu/ Rhino statements, etc. Perform in-house labs (CBC, Chemistries, Fecals, etc.), prepping samples for external laboratories, maintenance of laboratory area and machines, maintenance of pharmacy and supplies, cleaning/sterilizing/wrapping of surgical instruments. Manage the financial needs of the practice by maintaining accurate balances through collection of client transactions, following all cash and credit card handling procedures, and following proper opening and closing procedures. Qualifications Equine experience preferred, excellent customer service skills, strong organizational and follow-up skills, attention to detail, time management skills, and strong business writing and oral communication skills. Schedule The schedule includes a five-day work week, Monday - Friday, 8hr shifts.
