Client Coordinator / Tax Preparer Apprentice United States Hybrid work From $65,000 a year - Full-time From $65,000 a year - Full-time Position Overview This is a hybrid role designed for someone who thrives in client service and wants to grow into tax preparation. You will serve as a key point of contact for clients while learning how tax returns are prepared, reviewed, and executed within a strategy-focused firm. You are not just managing communication—you are supporting the full lifecycle of the client experience, from onboarding through tax delivery. This role is ideal for someone with an accounting background or exposure who wants to move into tax, but also enjoys working directly with clients and keeping systems organized. Core Responsibilities Client Service & Coordination Serve as a primary point of contact for client communication through our CRM Conduct tax intake calls and guide clients through onboarding Ensure clients complete organizers and upload all required documentation Manage scheduling, follow-ups, and client expectations Provide clear, professional communication throughout the engagement Onboarding & Workflow Management Manage the annual onboarding process for tax clients Organize and review uploaded documents for completeness Maintain accurate and updated client pipelines in our CRM (TaxDome) Ensure clients move efficiently through each stage of the tax process Identify missing information proactively and follow up Compliance & Documentation Support Work directly with tax coaching clients to ensure they have access to all required compliance document templates Walk clients through compliance documents (Augusta, Accountable Plans, etc.) so they understand how to properly complete and implement them Assist with organizing tax documents and workpapers Support compliance templates for strategy clients (Augusta, Accountable Plan, etc.) Tax Preparation Apprenticeship Growth Plan Learn to prepare individual and business tax returns during busier seasons Assist preparers with data entry, organization, and basic return components Develop an understanding of tax strategies and how they apply to returns Support review processes by ensuring accuracy and completeness of files Progressively take on more complex responsibilities based on performance What Success Looks Like Clients feel supported, informed, and guided throughout the process No missing documents or stalled returns due to lack of follow-up Clean, organized, audit-ready client files Strong coordination between clients, preparers, and reviewers Growth into preparing returns with increasing confidence and accuracy Qualifications Background in accounting, finance, or related field (or equivalent experience) Strong interest in tax preparation and long-term growth in tax Excellent organization and attention to detail Clear and professional communication skills Ability to manage multiple clients and deadlines simultaneously Tech-savvy and comfortable learning new systems Preferred (Not Required) Experience with QuickBooks Online Experience with TaxDome or similar CRM systems Exposure to tax preparation (personal or business returns) Experience in a CPA firm, bookkeeping firm, or tax environment
