Summary The Administrative Assistant is responsible for supporting the Aberdeen Commercial division, as well as any other office duties assigned. Familiar with a variety of electrical concepts, practices and procedures is helpful but not required.
Responsibilities:
Assist with customers on the phone and in person. First impression extremely important. Answer, screen and direct phone calls as needed. Distribute and prepare correspondence, permits, work orders, appointments, bids, contracts, warranty work, letters, project close out documents, etc. Maintain filing system. Generate, submit and reconcile reports, spreadsheets, and billings. Provide excellent support to employees and customers. Provide information by answering questions, requests and customer inquiries. Research. Handle multiple projects. Assist in preparation of monthly billing. Contribute to team Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. Act as a liaison between departments Requirements Speak clearly and friendly. Proven admin or assistant experience. Some accounting experience is preferred Knowledge of office management system and procedures. Excellent time management skills and ability to multi-talk and prioritize work. Attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organization and planning skills. Strong in MS Office; Excel, Word and Outlook. High school diploma or equivalent. Familiarity with project software platforms such as Procore, Buildertrend, Kahua, Fieldwire, etc. preferred All other duties as assigned.
