POSITION MISSION
The Community Outreach & Enrollment Coordinator is responsible for developing and implementing comprehensive student recruitment, enrollment, and community engagement strategies to ensure Horizon Science Academy Saint Paul achieves and maintains full enrollment. This role serves as one of the primary ambassadors of the school, strengthening relationships with families, community organizations, business leaders, and local partners while promoting the school's mission and offerings. The Coordinator manages the full enrollment cycle—from outreach and application support to registration, onboarding, and family persistence—while simultaneously building community connections and enhancing the school's visibility across Saint Paul and surrounding areas.
KNOWLEDGE, EXPERIENCE & SKILLS
Experience 2-5 years of experience in student recruitment, community outreach, marketing, enrollment management, or related fields. Special Knowledge/Skills Demonstrates core values aligned with
Concept Schools:
integrity, high expectations, teamwork, respect, and commitment to a student-centered environment. Effective written and oral communication skills; strong interpersonal and public-facing presentation abilities. Excellent organizational skills with the ability to manage multiple projects and deadlines. Proficiency in data entry, student information systems, spreadsheets, CRM platforms, and general computer use. Event planning experience strongly preferred. Ability to work evenings, weekends, and select holidays as needed for recruitment or events. Bilingual skills (particularly Somali, Hmong, Spanish, or Oromo) strongly preferred but not required.
MAJOR RESPONSIBILITIES & DUTIES I.
Ensure Full Enrollment by the First Day of School Develop and execute student recruitment strategies targeting families within a 5-10 mile radius of HSASP. Promote HSASP at community events, fairs, cultural gatherings, houses of worship, and partner organizations. Conduct off-site presentations to community groups, childcare centers, local nonprofits, and housing authorities. Engage in neighborhood canvassing, targeted outreach walks, and door-to-door information sharing. Assist families with completing online or paper applications and explain enrollment processes clearly. Host consistent campus open houses, info sessions, and school tours. Monitor application quality, follow up on incomplete applications, and ensure timely submissions. Maintain a strong waitlist through sustained outreach before and after the lottery. II. Meet Enrollment Milestones & Manage Enrollment Processes Lead the re-enrollment process ensuring 100% response from returning families. Follow up with accepted families post-lottery to support onboarding and confirm enrollment. Plan and execute school orientation events with the goal of 90% attendance. Oversee registration, ensuring all required documents are collected and families receive support. Monitor enrollment progress, identify risks, and adjust recruitment strategies proactively. Collaborate with the Principal and operations team to maintain accurate enrollment records. III. Engage New Families & Support Family Persistence Provide school tours, host onboarding meetings, and maintain strong communication with prospective families. Collaborate with teachers, office staff, and administrators to ensure a warm welcome for new students. Coordinate new family events, workshops, and cultural welcome sessions. Build strong relationships with families to support retention and reduce early withdrawals. Support families in understanding school culture, expectations, and academic programming. IV. Community Relations & External Partnerships Develop and maintain positive relationships with local leaders, elected officials, business owners, and civic groups. Organize community breakfasts, luncheons, annual showcases, and engagement events. Arrange visits to or from community partners, universities, and influential stakeholders. Establish student ambassador programs and train ambassadors to lead tours and represent the school. Maintain an updated database of partners, donors, visitors, and outreach contacts. Identify community resources and assets that support ongoing recruitment and family engagement. V. Communications, Marketing & School Promotion Assist in developing newsletters, promotional materials, social media content, event flyers, and school announcements. Create and distribute monthly family newsletters and periodic community newsletters. Craft press releases and build relationships with local media to highlight school stories. Profile student, parent, and staff success stories for publication and community distribution. Support the Principal with internal/external communication and messaging. Ensure that all outreach materials reflect Concept Schools brand standards. VI. Organizational Collaboration & Professional Expectations Attend regular trainings, check-ins, and workshops with Concept Schools main office and regional leadership. Demonstrate ownership of outcomes, willingness to learn from feedback, and accountability for results. Collaborate effectively across departments and contribute positively to school culture. Support disaster/emergency response duties when needed. Perform additional duties as assigned to support school operations.

Promote the mission of Horizon Science Academy and Concept Schools throughout the community. Cultivate a culture of fairness, inclusivity, and respect across diverse cultural backgrounds. Encourage and support parent engagement and advocacy. Actively participate in schoolwide student recruitment initiatives and events.
WORKING CONDITIONS
Ability to work indoors/outdoors in various weather conditions. Requires moderate physical activity including walking, bending, lifting up to 25-50 lbs during events. Flexibility for evening/weekend hours as needed for outreach efforts. Ability to manage time effectively in high-energy, fast-paced environments.
