Job Description

Job Title Coordinator, Printing and Shipping Essential Job Functions Coordinate print production and shipping activities to support daily operations and meet established timelines Monitor and track production schedules, ensuring jobs are completed accurately and on time Serve as a primary point of contact for departments to clarify job specifications, deadlines, and requirements Review print jobs for accuracy, completeness, and adherence to university branding standards Assist in prioritizing workflow based on deadlines and operational needs Prepare, package, label, and coordinate the shipping of printed materials Communicate with shipping carriers and vendors to ensure timely delivery of materials Maintain appropriate inventory levels of printing supplies and materials; assist with ordering as needed Track and maintain records of print jobs, supply usage, and departmental chargebacks Troubleshoot routine production or equipment issues and report concerns to the Manager Provide guidance and support to print production staff regarding job processes and workflow coordination Ensure adherence to safety procedures and maintain a clean, organized work environment Assist the Manager with workflow improvements, process enhancements, and implementation of best practices Provide customer service support by advising departments on print options, timelines, and basic cost considerations Other related duties, as assigned Qualifications Associate's degree in Business Administration, Graphic Communications, Printing Technology, or a related field preferred. In lieu of an associate's degree, a high school diploma or equivalent (GED), and a minimum of 4-6 years of relevant experience. 4-6 years of experience in print production, duplicating, shipping, or a related field Experience coordinating workflows or supporting operations preferred Knowledge Skills and Abilities Advanced knowledge of printing, duplicating, and shipping processes Proficiency with digital print systems, print management software, and job tracking systems Strong understanding of print production workflows, scheduling, and cost estimation Knowledge of shipping procedures, carriers, and logistics coordination Ability to monitor quality control and ensure compliance with university branding standards Strong organizational and time management skills Excellent verbal and written communication skills Ability to manage multiple priorities and meet deadlines in a fast-paced environment Strong customer service and problem-solving skills Ability to collaborate effectively with staff, departments, and vendors
