Job Description
Overview Join a dynamic team as a Custom Home Builder - Office Assistant, where your organizational skills and enthusiasm will support the seamless operation of our home building projects. This role offers an exciting opportunity to be the backbone of our administrative and office management functions, ensuring smooth communication, efficient scheduling, and exceptional customer support. Responsibilities Manage front desk operations, greeting visitors and clients with professionalism and warmth Answer multi-line phone systems promptly, directing calls efficiently and courteously Maintain accurate records through data entry, filing, and document proofreading to ensure information integrity Oversee calendar management for project timelines, meetings, and appointments using Google Workspace and Microsoft Office tools Handle bookkeeping tasks using QuickBooks to track expenses, invoices, and payments Support office management activities including supply ordering, filing systems, and general clerical duties Provide exceptional customer support by responding to inquiries via phone or email and assisting with project-related questions Coordinate with team members to ensure timely communication and document flow across multiple projects Skills Proficiency in QuickBooks for bookkeeping and financial record keeping Strong office management skills with experience in clerical tasks such as filing, data entry, and proofreading Excellent computer skills including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Bilingual abilities are a plus to assist diverse clients and team members effectively Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally Exceptional organizational skills with the ability to manage calendars, prioritize tasks, and meet deadlines Previous office or administrative experience in a construction or home building environment is highly desirable Strong customer service orientation with excellent communication skills and professionalism at all times Personal assistant or executive assistant experience that demonstrates high-level organizational capabilities Ability to handle multiple responsibilities efficiently while maintaining attention to detail in a fast-paced setting This vibrant role combines administrative excellence with the rewarding field of custom home building.
