In this vital role, you will serve as the first point of contact for clients and visitors, manage a variety of administrative tasks, and ensure smooth office operations. Your proactive approach, exceptional organizational skills, and ability to handle multiple responsibilities with professionalism will help foster a welcoming environment and support our company's efficiency and growth. Duties Greet visitors and manage front desk operations with friendly professionalism, ensuring a positive first impression. Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette. Manage calendar appointments, schedule meetings, and coordinate events using Reynolds and Reynolds and other parts/service software Perform data entry, maintain accurate filing systems, and update records efficiently to support administrative workflows. Provide exceptional customer support by addressing inquiries via phone or email, resolving issues promptly, and maintaining positive communication. Assist with office management duties such as supply ordering, organization of office spaces, proofreading documents, and supporting personal assistant tasks as needed. Assist with warranty work submissions Requirements Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills. Familiarity with QuickBooks or similar bookkeeping software is highly desirable. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Exceptional phone etiquette skills with experience managing multi-line phone systems. Attention to detail for proofreading documents and maintaining accurate records. Prior experience in customer service roles demonstrating excellent interpersonal skills and professionalism. Ability to manage time effectively while handling various responsibilities such as filing, calendar management, and office support tasks.
