The Client Experience Coordinator is the person who makes all of that feel real from the very first moment — the warm voice on the phone, the familiar face at the front desk, the reason a client walks in a little nervous and leaves feeling genuinely taken care of. We believe the front desk isn't a waiting room — it's where the client experience begins. The person who answers the phone, greets the walk-in, and routes the nervous-about-taxes caller to the right human? That person sets the tone for everything. The kind of person who thrives here isn't just organized and professional — they're genuinely comforting to the clients who walk through our door, many of whom are anxious about their taxes and need to feel like they're in good hands before they ever sit down with an accountant. We're also a team that's always asking "is there a better way to do this?" — and we actually mean it. What You'll Do You are the first voice clients hear and the first face they see. Your job is not to answer accounting questions — it's to make people feel heard, gather the right information, and connect them to the right person on the team. You're the hub. The router. The one who knows exactly where everything goes and gets it there. Think of yourself as a skilled air traffic controller — except instead of planes, you're guiding people who are stressed about their taxes to a soft, professional landing.
Your Responsibilities:
Answer incoming calls warmly and professionally — you set the tone before anyone else does Greet clients in person and make them feel welcome (bonus points if you remember names) Ask the right questions to understand what a client needs — and route them to the right team member De-escalate upset or anxious callers with patience, empathy, and a calm that cannot be rattled Gather client information accurately and completely — details matter here Know when to give general information and when to stop and say "let me get the right person for you" Manage the front desk flow: check-ins, appointments, call volume, walk-ins Keep the reception area tidy, organized, and welcoming Support the team with administrative tasks as needed Assist with scheduling, messages, and general office coordination You are not expected to answer tax or accounting questions. You are expected to know who can, get them connected, and make the client feel taken care of every step of the way.
