This role supervises Schedulers, resolves escalations, collaborates with Billing and Intake, and provides leadership reports. The Coordinator ensures maximum billable hours, compliance with California labor laws, and timely scheduling of assessments and services. This position requires leadership, strategic thinking, and cross-department collaboration. Must be available to work fulltime (8 hours) between the hours of 8AM to 7PM on Monday through Friday. Key Responsibilities 1. Leadership & Supervision Supervise Schedulers, providing training, mentorship, and performance feedback. Monitor compliance with company policies and labor laws. Participate in hiring, onboarding, and evaluating scheduling staff. 2. Scheduling Operations & Optimization Oversee staff and client schedules across multiple service types and locations. Resolve escalated scheduling issues, cancellations, and parent concerns. Proactively identify gaps in billable hours and reassign staff accordingly. Ensure therapists and BCBAs are fully utilized according to caseload and authorizations. 3. Reporting & Compliance Generate daily reports on client service hours, employee hours, cancellations, and service gaps. Ensure daily client service reports are delivered by 11:00 AM.
Monitor and ensure compliance with:
Initial assessments scheduled the same day as authorization. Initial reports completed within 3 weeks. Service schedules finalized within 2 weeks post-assessment. Escalate delays to Clinical Director, Supervisors, and CEO. 4. Cross-Department Coordination Collaborate with Billing to ensure accuracy of service records. Partner with Intake to ensure new clients are scheduled promptly. Coordinate with Clinical Supervisors to align caseloads and staffing needs. 5. System & Process Improvement Track scheduling metrics (cancellations, utilization rates, missed hours). Recommend workflow improvements and implement approved changes. Evaluate scheduling efficiency and introduce process updates. Manage scheduling-related vendors, tools, and software systems.
Qualifications Required:
Bachelor's degree in Business Administration, Healthcare, or related field OR equivalent experience. 2+ years of scheduling/operations experience, including leadership. Excellent organizational, communication, and problem-solving skills. Experience with scheduling systems (Connecteam or similar).
Preferred:
Experience in ABA therapy, behavioral health, or insurance-funded healthcare. Familiarity with insurance authorizations and compliance standards. Bilingual (English/Spanish or other languages).
Pay:
$30.00 - $33.00 per hour
