We are seeking a motivated and personable Client Service Administrator to join our in-person team in Pasadena, CA. Job Description We are looking for a Client Service Administrator to support our Client Service Team. This role is pivotal in delivering outstanding service to our clients and ensuring smooth office operations. Key Responsibilities Set and coordinate appointments for advisors, managing an active outbound call schedule Handle client inquiries including questions about statements, the client portal, and joining virtual meetings Process deposits and send check requests accurately and in a timely manner Direct trade requests to the appropriate team member Update and maintain accurate client information in our CRM, including entering notes, navigating records, and following or driving workflows Participate in team meetings, including sharing screens and casting content to multiple monitors Greet clients and visitors, creating a welcoming and professional environment Adhere to compliance and legal guidelines regarding client communications Provide administrative support to the Client Service Team Manage office supplies and ensure timely ordering Qualifications Strong communication skills, both verbal and written Personable, professional, and client-focused demeanor Comfortable on camera for virtual client and team meetings Excellent organizational skills and attention to detail Ability to multitask and prioritize in a fast-paced environment Proficiency in Microsoft 365 (Outlook, Excel, Word, Teams, etc.) Experience with CRM platforms preferred Awareness of or willingness to learn financial industry compliance standards A college degree is encouraged but not required Previous experience in an administrative or client-facing role is a plus Why Join Us?
