Job Description

About the Role We are seeking a highly organized, detail‑oriented Operations Associate to support our team of financial advisors and ensure an exceptional experience for our clients. This role is central to the daily functioning of the firm and requires a professional who can balance client service, operational accuracy, and efficient workflow management. As the first and last point of contact for many of our clients, you will represent the firm's values of professionalism, clarity, and care. You will work closely with several advisors to support account administration, client onboarding, portfolio operations, and general office management. Once fully trained, you will have the discretion to assist clients in any capacity that does not require a securities license. Key Responsibilities Client Service & Advisor Support Serve as the primary point of contact for client inquiries, ensuring timely, accurate, and professional communication Support multiple financial advisors with client follow‑up, meeting preparation, and service requests Assist clients with account questions, paperwork, and general service needs Maintain a warm, professional presence in person, by phone, and via email Account Administration & Portfolio Operations Prepare and process account opening documents, transfers, and maintenance requests Coordinate with custodians and vendors to resolve operational issues Maintain accurate and compliant client records Support portfolio operations and administrative tasks under advisor direction Office & Workflow Management Manage the firm's daily schedule, tasks, and internal workflow to keep advisors operating efficiently Oversee office supplies, equipment, and general office organization Learn and adopt new technology platforms as they are implemented Monitor office budget and expenditures Assist with special projects, reporting, and process improvements Qualifications Strong communication and interpersonal skills High attention to detail and ability to manage multiple priorities Professional presence and client‑service mindset Comfort with technology and willingness to learn new systems Experience in financial services, operations, or administrative roles is preferred Ability to work independently while supporting a collaborative advisory team What We Offer A professional, supportive, and growth‑oriented environment Direct involvement in client service and advisor support Opportunities for expanded responsibility as skills develop Competitive compensation based on experience
