Job Description

Primary Responsibilities Transportation Operations & Dispatch Management Manage daily dispatch operations for local, national, and international transportation services. Assign trips to chauffeurs and affiliate partners while balancing vehicle availability, staffing resources, and client demand. Monitor active trips and respond to operational issues as they arise. Close and reconcile completed trips for payroll processing and client invoicing. Develop and distribute trip manifests, maps, routing instructions, signage, and operational briefings. Ensure clear communication among internal departments, chauffeurs, vendors, and affiliate partners. Chauffeur Management Manage chauffeur uniforms, credentialing, and compliance requirements. Address employee relations matters, including coaching and disciplinary actions. Maintain chauffeur scheduling and availability records. Forecast staffing shortages and identify potential blackout or high-demand periods.
Uphold Agenda:
USA's standards of professionalism, service excellence, and ethical business practices. Fleet & Vendor Management Monitor vehicle utilization and maintenance schedules. Serve as liaison with airport authorities regarding permits, credentials, access requirements, and account management. Develop and maintain strong relationships with affiliate transportation providers locally, nationally, and internationally. On-Call Responsibilities Participate in a rotating on-call schedule, including evenings, weekends, and holidays. Respond to urgent operational issues and client needs outside of normal business hours. Additional Duties Perform other duties and responsibilities as assigned by company leadership. Secondary Responsibilities Client & Event Support Respond to transportation inquiries and assess operational feasibility. Determine transportation requirements, including vehicle selection, passenger counts, service schedules, and special accommodations. Enter and manage reservations within company software systems. Collaborate with Group Transportation and Event Services teams to execute client programs. Ensure all client expectations and service requirements are communicated accurately and fulfilled. Financial & Administrative Responsibilities Assist with monitoring and maintaining accounts receivable. Support payroll preparation and trip reconciliation processes. Assist with administration of operational software platforms, including Limo Anywhere, Samsara, and related systems. Maintain accurate operational records and reporting. Business Development & Industry Relations Maintain and strengthen relationships with clients, affiliates, venues, and industry partners. Respond promptly to referrals and business opportunities.
Represent Agenda:
USA at networking events, industry meetings, and professional functions as assigned. Support marketing and business development initiatives that contribute to company growth. Qualifications Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Ability to work effectively under pressure and meet deadlines. Experience managing employees, vendors, or transportation operations preferred. Proficiency with business software and transportation management systems. Strong customer service orientation and problem-solving skills. Ability to work flexible hours as operational demands require. Physical Requirements Ability to sit, stand, walk, and use standard office equipment for extended periods. Ability to occasionally lift and move materials up to 25 pounds. Ability to travel locally as needed to support transportation operations and events.
