ORDER MANAGEMENT COORDINATOR
Position Summary The Order Management Coordinator works closely with Sales Coordinators and the Sales team and is responsible for front-end order management, order validation, customer confirmations, and release readiness. This role serves as the primary link between Sales and Operations to ensure customer orders are entered accurately, approved, funded when required, and released on time. Key Responsibilities Order Intake & Validation Receive and review customer purchase orders. Validate order details, pricing, quantities, lead times, and customer requirements. Review purchase orders against customer quotes and approved pricing. Identify discrepancies and coordinate resolution with Sales before order entry. Order Setup Create and maintain Work Orders (WOs) and Sales Orders (SOs) in the ERP system. Enter repeat orders, balance orders, miscellaneous orders, label work orders, and credit memos. Ensure all required components, labels, and customer-supplied materials are properly assigned. Maintain accurate customer records, contacts, and supporting documentation. Customer Confirmations Generate and distribute order confirmations. Follow up with customers until confirmation approval is received. Process customer-requested revisions and update orders accordingly. Ensure all order details accurately reflect customer authorization before releasing orders to production. Pre-Payment Coordination Coordinate pre-payment and balance due requirements. Send payment requests and monitor payment status. Work closely with Accounting to ensure orders meet financial release requirements. Process credit card and electronic payments as required. Release Coordination Confirm all order requirements have been satisfied prior to release. Coordinate with Purchasing, Production, QA, and Logistics regarding release readiness. Ensure customer-supplied components and documentation have been received. Escalate issues that may impact order release dates. Customer Support Respond to customer inquiries regarding order status and confirmations. Provide accurate order-related communication and updates. Maintain professional customer relationships while ensuring compliance with internal procedures. Qualifications 2+ years of customer service, order management, sales support, or manufacturing administration experience. Strong attention to detail and organizational skills. ERP, QuickBase, or manufacturing software experience preferred. Strong communication and follow-up skills. Proficiency in Microsoft Office, especially Excel.
