Job Description

Client Experience & Operations Coordinator Position Overview The Client Experience & Operations Coordinator plays a key role in supporting the daily operations of The Stephan Group. This position is responsible for creating an exceptional experience for clients, assisting with real estate transactions, coordinating leasing activities, managing schedules, and providing administrative support to ensure smooth and efficient business operations. The ideal candidate is highly organized, detail-oriented, professional, and enjoys working with people. This individual will serve as a primary point of contact for clients members while helping maintain a high level of service throughout the buying, selling, and leasing process. Key Responsibilities Client Experience Provide exceptional customer service to buyers, sellers, tenants, landlords, and investors. Respond to client inquiries in a timely and professional manner. Assist clients by providing requested information, documents, updates, and resources. Maintain consistent communication throughout transactions and leasing processes. Ensure clients have a positive experience from initial contact through closing or lease execution. Follow up with clients to gather feedback and maintain long-term relationships. Leasing Coordination Manage leasing inquiries and respond to prospective tenant questions. Schedule property showings and coordinate appointments. Assist with rental applications, lease preparation, and tenant onboarding. Communicate with prospective and current tenants regarding leasing requirements and property information. Coordinate move-in and move-out processes as needed. Maintain leasing records and update property availability information. Transaction Support Assist with real estate transactions from contract to closing. Coordinate communication between clients, lenders, title companies, inspectors, appraisers, and other parties. Track contract deadlines and ensure required documents are completed and submitted on time. Maintain transaction files and ensure compliance with brokerage procedures. Provide transaction updates to clients and team members. Administrative & Operations Support Manage calendars, appointments, meetings, and scheduling. Prepare, organize, and maintain digital and physical files. Assist with data entry, CRM management, and database organization. Prepare documents, reports, and correspondence as needed. Coordinate vendor appointments and service providers. Support marketing initiatives and special projects as assigned. Assist in implementing systems and processes that improve efficiency and client service. Qualifications Required Qualifications Strong organizational and time-management skills. Excellent verbal and written communication abilities. Customer-service-oriented mindset. Ability to manage multiple projects and deadlines simultaneously. Proficiency with Microsoft Office, Google Workspace, and CRM systems. Ability to work independently and proactively solve problems. Previous experience in real estate, leasing, property management, transaction coordination, or administrative support is preferred. Active Michigan Real Estate License (Required). Desired Traits Professional and positive attitude. Detail-oriented and highly organized. Strong follow-through and accountability. Ability to maintain confidentiality. Team player with a willingness to learn and grow. The compensation is salary and commission.
Pay:
$26.20 - $31.55 per hour
