Full Job Description Client Service Manager Location:
Needham, MA Role Overview The Client Service Manager (CSM) is the dedicated operational and client service partner to a single advisor, responsible for managing all administrative, CRM, and client service workflows that support the advisor's practice. This role ensures that every client request, operational task, and follow‑up is handled accurately, consistently, and proactively. The CSM serves as the operational backbone of the advisor's book of business—allowing the advisor to remain focused on relationship management, financial planning, and business development with full confidence that all service and operational needs are executed with precision. This position is ideal for a highly organized, process‑driven professional who values ownership, consistency, and building deep familiarity with an advisor's clients and workflows. Key Responsibilities Client Onboarding Own the end‑to‑end onboarding process for new clients Set up new clients within the firm's review and service model Coordinate new account establishment from initiation through completion Provide Investor360 login access once accounts are opened Send new client welcome and onboarding communications Ensure a smooth, professional transition from prospect to client New Account & Paperwork Processing Manage the digital paperwork process (DocuSign) for new and existing accounts Track documentation through approval and funding Identify, resolve, and follow through on NIGO (Not In Good Order) issues Money Movement & Cashiering Execute all cashiering and money movement requests, including: Wires Journals and internal transfers Check deposits Process client withdrawal requests Track and process Required Minimum Distributions (RMDs) Ensure all transactions are accurate and completed in compliance with firm and regulatory standards Client Service & Account Maintenance Handle ongoing client service requests, including: Address, beneficiary, and ownership changes Setting up Systematic Withdrawal Plans (SWPs) Establishing Periodic Investment Plans (PIPs) on existing accounts Completing annuity rider forms to initiate income payments Provide timely, professional follow‑up on all client requests Maintain detailed and accurate service records Meeting & Calendar Logistics Proactively manage the advisor's calendar and scheduling Prepare standardized meeting preparation packets for client review meetings Ensure the advisor has complete, well‑organized information for each meeting Special Projects Support advisor‑led and firm‑wide initiatives, including: CRM migrations and data cleanup projects Client event planning and coordination Technology implementations and workflow improvements Required Qualifications Strong attention to detail and comfort managing repetitive, process‑driven workflows Experience working with CRM systems and digital documentation Excellent organizational and time management skills Ability to work independently and follow tasks through to completion Preferred Qualifications Experience in financial services or wealth management Experience with Salesforce or similar CRM platforms; CRM migration experience a plus Proficiency in Microsoft Office (Outlook, Excel, Word) Familiarity with NIGO resolution, cashiering, and account maintenance workflows Benefits Health insurance Dental insurance Vision insurance Paid time off and sick time Short‑term disability
