JOB SUMMARY
The Estimation Coordinator at DuraServ plays a pivotal role in overseeing and optimizing the operations of work order management. Reporting directly to the Account Manager within National Accounts, this position is responsible for ensuring efficient and effective coordination between local branches, subcontractors, and national account customers. Success in this role requires strong leadership and organizational skills, particularly in managing high-pressure, fast-paced situations while upholding excellent customer service standards.ESSENTIAL JOB FUNCTIONS
Provide dispatch support by assisting National Accounts Managers to coordinate service work for national accounts, ensuring schedules are accurate and efficient. Serve as a communication liaison by acting as the primary point of contact between local branches, subcontractors, and national account customers to facilitate effective communication. Manage schedule updates by collaborating with National Accounts Managers to update and coordinate schedule dates for initial service work, ensuring timely execution with branches and subcontractors. Demonstrate strong multi-tasking abilities by managing multiple tasks for various national accounts simultaneously, maintaining organization and attention to detail. Ensure policy compliance by adhering to company policies and compliance standards, supporting excellent customer service and overall departmental performance. Handle work orders by obtaining all necessary information to generate quote preparation materials and, when needed, preparing quotes. Communicate daily with offices and partners via email and phone to collect information such as technician write-ups, surveys, partner quotes, and photos. Utilize asset surveys to fill in any missing information. Track work order status by regularly updating internal and external systems with current status and schedule dates, ensuring records are accurate and up to date. Engage in customer interaction by maintaining courteous and effective communication with customers, branches, and subcontractors via email, phone, and customer systems. Provide assistance and collaboration by working closely with the Team Lead and other team members to streamline processes, resolve issues, and improve departmental efficiency. Strong verbal and written communication skills, with the ability to interact effectively with internal teams, customers, and subcontractors. Exceptional attention to detail and accuracy in managing quotes, schedules, and work order information. Proficiency in Microsoft Office 365 and relevant scheduling/dispatch software, ensuring smooth coordination and documentation. Strong multitasking and organizational skills, with the ability to manage multiple national accounts in a fast-paced environment. Analytical and problem-solving abilities, supporting sound decision-making and process improvement. Self-motivated and collaborative, with the ability to work independently while contributing effectively within a team.SUPERVISORY RESPONSIBILITIES
