Client Experience Coordinator (Real Estate) Ranchman Properties | Farm & Ranch Real Estate Ranchman Properties is seeking a highly organized, client-focused professional to serve as our Client Experience Coordinator—a key role responsible for delivering a first-class experience to our buyers and sellers while supporting our agents at the highest level. This is not just a back-office position. This individual will serve as the front-facing representative of our brand, ensuring every client interaction reflects the professionalism, responsiveness, and attention to detail that defines Ranchman Properties. The ideal candidate has prior experience in real estate operations, understands contracts and compliance, and thrives in a fast-paced, high-performance environment. Position Overview The Client Experience Coordinator will oversee the full lifecycle of a transaction—from listing to closing—while managing client communication, coordinating with vendors, and ensuring every detail is handled with precision. This role combines the responsibilities of a Listing Coordinator and Transaction Coordinator, with an elevated focus on client communication, service, and experience. Key Responsibilities Client Experience & Communication Serve as the primary point of contact for clients after listing or contract execution Deliver a high-touch, professional experience to buyers and sellers throughout the process Proactively communicate timelines, expectations, and updates Build trust and confidence through clear, consistent communication Ensure every interaction reflects the Ranchman brand and standard Listing Coordination Manage all listing documentation from pre-listing to active status Review listing agreements and ensure accuracy and compliance Ensure all marketing tasks—such as photography, drone, signage, and marketing assets—are completed on time and meet Ranchman Properties' brand and quality standards Input and manage listings across MLS and marketing platforms Ensure all required documents and disclosures are completed and properly filed Maintain listing timelines and ensure all deliverables are executed on schedule Transaction Coordination Oversee all contract-to-close processes for buyer and seller transactions Review contracts for completeness and accuracy prior to execution (when applicable) Track all key contract dates, deadlines, and contingencies Coordinate with title companies, lenders, inspectors, and cooperating agents Ensure all compliance documents are collected, organized, and submitted properly Monitor file integrity and ensure adherence to TREC and brokerage requirements Provide agents with critical reminders to protect timelines and performance Operations & Compliance Maintain organized digital files and documentation systems (OneDrive, CRM, etc.) Ensure all transactions meet compliance standards before processing Identify missing documentation and follow up proactively Support internal systems that drive efficiency, consistency, and scalability Assist in refining and improving operational workflows over time Team Support Act as a key support partner, helping keep focus on revenue-generating activities Provide contract guidance and administrative support when needed Uphold a culture of accountability, responsiveness, and excellence Collaborate with leadership to continually elevate the client experience Qualifications Previous experience in real estate required (transaction coordination, listing coordination, real estate agent, or similar role) Active Texas Real Estate License preferred or ability to quickly reinstate Strong understanding of contracts, timelines, and compliance requirements Exceptional attention to detail with a high level of accuracy Strong communication and interpersonal skills High level of organization and ability to manage multiple transactions simultaneously Tech-savvy with experience in CRM systems, document management, and MLS platforms Ability to problem-solve, prioritize, and operate with urgency Who This Role Is For This role is for someone who: Takes pride in delivering a world-class client experience Operates with a high level of ownership and accountability Thrives in a fast-moving, high-expectation environment Enjoys being both detail-oriented and people-focused Wants to be part of building something significant within a growing brand Our Standard At Ranchman Properties, we don't aim to be average—we aim to set the standard in farm and ranch real estate.
