Position Overview We are looking for a highly organized, motivated Office Coordinator / Service Dispatcher to join our team in Gig Harbor. This role is ideal for someone who enjoys multi-tasking, problem-solving, and working directly with customers , while helping keep daily operations running smoothly. You'll split your time between: Customer service & dispatch coordination General office management & administrative support What We're Looking For You might be a great fit if you: Enjoy being part of a small, team-focused environment Thrive in a fast-paced, sometimes hectic setting Stay calm under pressure and can juggle multiple priorities Are a strong communicator (phone, email, in-person) Are detail-oriented and highly organized Are comfortable learning and managing systems Live in or near the Gig Harbor / Tacoma area Key ResponsibilitiesService Dispatch & Customer Service Answer a high volume of incoming calls Schedule service and maintenance appointments Dispatch technicians to daily jobs Communicate clearly with customers and field staff Assist with billing follow-up and syncing with QuickBooks Help improve scheduling and dispatch systems for efficiency Office Management & Administrative Support Support bookkeeper, sales team, and installation crews Perform basic data entry and bookkeeping tasks Track job progress and follow up with owner/office manager Maintain detailed customer call records Manage customer service email inbox Help keep the office organized and stocked with supplies Qualifications Experience in HVAC/Dispatching is a must.
