Job Description
Job Summary:
The Client Intake Specialist will be responsible for managing and enhancing client interactions through effective communication and support. This role involves handling inbound and outbound calls, addressing client inquiries, providing information on legal services, gathering important information, client questionnaires, and ensuring a positive client experience. You will communicate with our clients to update them on current events, facilitate the scheduling of testing and inspections, and keep them informed on any pressing matters. We do not solicit! We are a law firm that needs to communicate with potential clients and manage our current client caseload in other states. This is an excellent opportunity make a meaningful impact on clients' lives.Key Responsibilities:
Client Interaction:
Handle inbound and outbound calls with professionalism and courtesy, addressing client inquiries, providing information about legal services, resolving issues promptly, and conducting intake interviews with clients to gather necessary information.Client Support:
Assist clients with the intake process, scheduling consultations, and providing updates on case progress or service status.Documentation:
Maintain accurate and detailed records of client interactions, ensuring all relevant information is captured and updated in the client management system.Collaboration:
Work closely with attorneys and other team members to ensure client needs are met and provide feedback on client concerns or trends.Compliance:
Adhere to all relevant legal regulations and company policies related to client confidentiality and data protection.Problem Resolution:
Identify and address client concerns or complaints, escalating issues to the appropriate department or manager when necessary.Training and Development:
Participate in ongoing training and professional development to stay informed about legal practices, company policies, and client service techniques.- Other duties the legal team may need as assigned.
Skills:
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in using client management software and Microsoft Office Suite.
- Ability to handle sensitive and confidential information with discretion.
- Ability to conduct thorough research using various resources.
- Accurate and efficient data entry skills, spreadsheet management, and computer skills.
- Proficient in clerical tasks such as typing, scanning, and photocopying documents.
