This role requires exceptional attention to detail and strong organizational skills to effectively manage multiple properties and related responsibilities. The ideal candidate is proactive, trustworthy, and experienced in property management, with excellent communication and problem-solving abilities. Essential Duties and Responsibilities 1. Property Management & Oversight
  • Manage residential and/or commercial properties held under fiduciary responsibility
  • Coordinate routine maintenance, repairs, and emergency services
  • Conduct property inspections and document condition through detailed reports and photos
  • Ensure properties are secure, safe, and compliant with applicable local regulations 2. Administrative Duties
  • Assist in developing and monitoring budgets for property expenses and capital improvements
  • Review and process vendor invoices and service agreements
  • Prepare and maintain documentation for court accountings and internal financial reporting 3. Vendor & Contractor Management
  • Identify, vet, and manage contractors and service providers
  • Obtain competitive bids and negotiate pricing for maintenance and improvement projects
  • Monitor vendor performance to ensure quality service and cost efficiency 4. Compliance & Fiduciary Support
  • Ensure all activities align with fiduciary obligations, court orders, and applicable laws
  • Maintain accurate, organized records of all property-related transactions and actions
  • Support Principal Fiduciary evaluating property decisions, including maintenance to retain or sale 5. Property Disposition (as needed)
  • Coordinate property sales, including collaboration with licensed real estate agents
  • Prepare properties for sale, including repairs, cleaning, and staging as appropriate
  • Oversee timelines, documentation, and communication throughout the sales process Core Competencies 1. Attention to Detail & Organization Skills

  • Understands and follows court orders, fiduciary standards, and applicable landlord-tenant and property regulations

  • Produces accurate, thorough, and well-documented work across all responsibilities, including inspections, inventories, reporting, and vendor coordination

  • Completes assigned tasks, inspections, inventories, and reports within established deadlines
  • Responds promptly to property issues, tenant concerns, and urgent matters, maintaining appropriate sense of urgency
  • Effectively prioritizes workload to ensure time-sensitive responsibilities are handled efficiently and without delay Compliance and Confidentiality All work complies with fiduciary obligations, regulatory requirements, and internal policies Confidential information is always safeguarded Collaboration
  • Works effectively with fiduciaries, team members, vendors, tenants, and external partners to ensure smooth property operations
  • Communicates clearly, professionally, and proactively to support coordinated decision-making and problem resolution
  • Contributes to a positive team environment by sharing information, supporting colleagues, and aligning efforts with organizational goals Reliability and Accountability Demonstrates dependability in meeting deadlines and fulfilling responsibilities Takes ownership of tasks and follows through to completion Qualifications Required Qualifications
  • Minimum of 2 years' experience in property management, real estate, asset management, or a related field
  • Strong organizational skills with the ability to manage multiple properties, tasks, and deadlines simultaneously
  • High level of integrity, discretion, and accountability when handling client assets and sensitive information
  • Excellent written and verbal communication skills
  • Ability to work independently, prioritize workload, and exercise sound judgment
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic property management systems
  • Valid driver's license with reliable transportation for local property visits Preferred Qualifications
  • Experience working in fiduciary services, conservatorships, estates, or legal/financial services environment
  • Experience conducting property inspections and asset inventories, including documentation and photo records
  • Experience coordinating vendors, contractors, or property-related projects
