We are seeking a dynamic, organized, and customer-focused individual to join our Downey team as a Customer Service Specialist. Main Job Tasks and Responsibilities:
Customer Interaction & Support:
Respond promptly to customer inquiries via phone, email, and in person with professionalism and courtesy. Provide accurate information regarding products, services, lead times, and order status. Handle and resolve customer concerns efficiently while maintaining a high level of customer satisfaction. Build and maintain strong customer relationships to encourage repeat business and long-term partnerships. Support customers with pricing requests, order updates, shipment tracking, and general account assistance.
Order Management:
Accurately enter and process customer sales orders. Track and follow up on orders to ensure timely delivery and resolution of backorders or shipping delays. Coordinate with warehouse, purchasing, and logistics teams to ensure efficient order fulfillment. Verify order accuracy, product availability, and pricing prior to processing. Assist with freight coordination and shipment scheduling when needed.
Administrative & System Tasks:
Maintain accurate customer records in CRM and ERP systems (Sage experience highly preferred). Prepare reports related to customer activity, order volume, and service metrics. Assist with invoicing, returns, credits, and documentation processing. Update customer account information to ensure accurate records and communication. Perform data entry and general administrative support tasks for the office and operations teams.
Cross-Functional Collaboration:
Work closely with sales, operations, warehouse, purchasing, and accounting departments to resolve customer issues and improve processes. Assist sales representatives with quotes, product details, inventory checks, and lead times. Support internal teams with scheduling, communication, and operational coordination. Collaborate with the Business Development and Operations teams to improve customer experience and office efficiency.
Education:
Required:
High School Diploma or GED Preferred:
Associate's or Bachelor's Degree in Business, Communications, or a related field
Experience:
Required:
Minimum 2 years of customer service or administrative experience in a fast-paced office environment.
Preferred:
Experience using ERP or CRM systems, particularly Sage. Experience in construction, industrial, manufacturing, utility, distribution, or service-based industries.
Skills:
Strong verbal and written communication skills. Excellent customer service and problem-solving abilities. Strong attention to detail and organizational skills. Proficiency in Microsoft Office Suite and data entry. Ability to multitask and work efficiently in a fast-paced environment. Experience with order processing, inventory coordination, or logistics is a plus. Bilingual abilities are a plus.
