Job Overview The CSR is responsible for providing exceptional customer service by handling inquiries, processing orders, and ensuring accurate pricing and invoicing. This role requires strong communication skills, attention to detail, and the ability to coordinate with internal teams to support customers effectively. This role will sit in our front reception office. Essential Job Functions & Key Responsibilities Serve as the primary point of contact for customers via phone and email. Respond to customer inquiries regarding products, pricing, and order status. Resolve customer issues efficiently while maintaining a high level of professionalism. Accurately enter and process customer orders in the system. Verify order details, including pricing, availability, and shipping requirements. Coordinate with warehouse, logistics, and sales teams to ensure timely order fulfillment. Provide customers with accurate pricing based on company policies and agreements. Assist in preparing quotations and special pricing requests. Maintain up-to-date records of price lists and customer agreements. Generate and issue invoices to customers in a timely manner. Ensure accuracy in billing details, including taxes, discounts, and payment terms. Address and resolve invoicing discrepancies in coordination with the finance team. Maintain organized records of customer orders, invoices, and communications. Manage vendor pricings and adjustments process. Ensure data integrity and compliance with company policies. Work closely with sales, finance, and warehouse teams to improve customer experience. Identify areas for process improvement and contribute to efficiency initiatives. Assist other finance areas such as accounts payable when required Retrieve Post Office Mail Answer front door, greet visitors Answer phones Skills, Qualifications & Experience 3-5 experience in customer service, order entry, or administrative support. Strong data entry skills with a high level of accuracy. Knowledge of invoicing and pricing structures. Proficiency in ERP or CRM systems (e.g., SAP, Salesforce, NetSuite). Excellent communication and problem-solving skills. Ability to multitask and work in a fast-paced environment. Strong attention to detail and organizational skills. Working Conditions and Physical Requirements The role will be at the front desk and assist with front desk activities as well as back office responsibilities. Occasionally there might be a need to work nights or weekends depending of month and year-end workload and responsibilities. Occasionally in our warehouse with large machinery and heavy materials, in varied climatic conditions.
