The Customer Service Representative reports to the Logistics Supervisor and supports daily operations by processing contracts and customer orders. This role is responsible for maintaining accurate sales and purchase documentation, organizing order and shipment records, and assisting with account reconciliation. The position also supports the preparation of export documentation in accordance with country-specific requirements and works closely with internal teams and customers to ensure accuracy and timely communication. Additional responsibilities include coordinating product sample requests, following up with customers, and providing regular updates on sales and purchasing activity. This role requires a detail-oriented and organized individual who can manage multiple tasks, support team workflows, and respond to customer inquiries in a timely and professional manner.ESSENTIAL FUNCTIONS
Prepare and generate sales and purchase contracts based on information provided by the Sales team Organize and maintain order and shipment documentation for both domestic and export orders Enter and manage customer orders and packaging requirements in internal systems (e.g., Grower Direct Application) Distribute finalized contracts to customers and ensure all required shipment documentation is complete and accurate Process internal and warehouse-related purchases, as well as front desk transactions (walk-ins, growers, donations) Assist with monthly account reconciliation by reviewing contracts, identifying discrepancies, and supporting resolution efforts Create and track orders through internal processing systems, ensuring all documentation is properly recorded and maintained Respond to customer inquiries regarding orders, contracts, products, and services in a timely and professional manner Provide daily updates and reports on sales and purchasing activity to the Sales team Coordinate with Quality Control and labeling teams to ensure timely label approval and availability Support team operations by assisting in coverage during employee absences and maintaining workflow continuity Follow up with customers to gather feedback and support overall customer satisfaction Coordinate product sample requests and shipments for customers and internal teams as needed Crosstrain across domestic and export functions to support team flexibility and coverage. Assist in preparing and reviewing export documentation in accordance with country-specific requirements, including commercial invoices, packing lists, certificates of origin, and other required documentsQUALIFICATIONS/SKILLS
High school diploma or equivalent required 0-2 years of customer service, administrative, or office experience preferred Strong attention to detail and organizational skills Basic computer proficiency, including Microsoft Excel, Word, and email Ability to learn internal systems and processes quickly 6. Effective verbal and written communication skills Ability to manage multiple tasks and prioritize in a fast-paced environment Comfortable working with data entry, documentation, and order processing Strong problem-solving skills and willingness to ask questions when needed Ability to work both independently and as part of a team English/Spanish written and verbal bilingual skills are desirablePHYSICAL DEMANDS
Occasionally required to stand, walk, use hands to handle or feel objects, reach with hands and arms Will frequently sit and occasionally climb or balance and stoop, kneel crouch or crawl Must use both hands for rapid mental muscular coordination, simultaneously. Must be able to reach high and low levels, frequently Must be able to push/pull/lift with arms below waist/at shoulder/above shoulder level up to 30 pounds frequently Must lift with arms up to floor to waist, waist to shoulder 30 pounds Must be able to constantly stand/stoop/walk/bend, up to 12 hrs Ability to strenuous flex/grip with wrist/hands frequently (15 flexion/minute) Use of keyboard and mouse for extended periodSimilar remote jobs
