June 25, 2026 Position Overview The Customer Service Assistant provides administrative and operational support to the customer service and sales teams within a food manufacturing environment. This role assists with order entry, customer communications, and data management while providing backup support to Customer Service Representatives (CSRs) during peak periods or absences. The position ensures efficient handling of customer requests and accurate documentation to support high levels of customer satisfaction. Essential Functions Assist with entering and updating customer orders in ERP systems (e.g., SAP, NetSuite) Verify order details including pricing, quantities, and delivery dates Maintain and update customer records, pricing files, and product data Respond to basic customer inquiries via phone and email, and route complex issues appropriately Provide backup support for CSRs during high-volume periods or staff absences Coordinate with production, warehouse, and logistics teams to track order status Prepare routine reports, order summaries, and administrative documentation Support invoicing, credits, and returns processing Assist with filing, recordkeeping, and compliance documentation Ensure adherence to company procedures and food industry regulations Qualifications Requires high school diploma or equivalent required; associate degree preferred Requires 0-2 years of experience in administrative, customer service, or order entry roles Familiarity with Microsoft Office (Excel, Outlook) and basic ERP systems Strong organizational and multitasking skills Effective written and verbal communication skills Ability to work in a fast-paced, team-oriented environment Key Skills Attention to detail and accuracy Customer focus and professionalism Time management and task prioritization Problem-solving and adaptability Team collaboration Work Environment Office environment within a food manufacturing or distribution facility. Frequent interaction with cross-functional teams including production, quality assurance, sales, and logistics. May involve handling time-sensitive orders and supporting coordination of perishable goods. Physical Demands & Working Conditions Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 50 lbs. occasionally (e.g., paperwork, files….)
