Job Description

We are looking for a office assistant with clerical and administrative experience to participate in our wine warehouse operations and activities. Office personnel responsibilities include answer phones, using Microsoft Office products, putting orders into NetSuite, creating/printing UPS/FedEx/GLS labels, packing and scanning orders, emailing, returning phone calls, making copies, customer service, scanning, and much more. The goal is to increase efficiency, profitability and customer satisfaction. Familiarity with general office procedures, either through formal training or equivalent experience. Previous work experience in an office environment is preferred but not necessary. Computer literate with knowledge of word processing, spreadsheets, and Microsoft Office products. Must possess good organizational skills, good interpersonal skills, and maintain a high degree of confidentiality. Must maintain a high level of customer service and client relations while performing office duties. General Duties Check all messages and return calls as needed. Check all email accounts regularly - multiple times per shift. Respond appropriately and politely to client emails to ensure customer satisfaction. Greet all incoming visitors, clients, and staff. Answer telephone calls and assist as needed or direct to the appropriate staff member. Ensure that all outgoing mail is ready to be mailed by 1 pm. File all signed BOLs, INs, and inventory movement forms into the appropriate file. Clean and sanitize office and supplies as needed. Special projects as assigned, e.g., excise tax preparation, spreadsheet reconciliation Receiving wines: Verify incoming Bill of Ladings to ensure it meets requirements and standards. Create new SKUs/item codes for all new wines coming in. Receive wines into NetSuite into the appropriate tax class. Order Processing Process orders through NetSuite and stage for warehouse associate/order puller. Ensure order accuracy through open lines of communication with clients and attention to detail. Follow county, state, and federal laws and regulations regarding wine transfers. Match pick tickets that have been completed with appropriate emails and create corresponding Bill of Ladings (BOL).
