This position's primary focus will be assisting and providing support to the Client Services department and Financial Advisors; however, this position will also be the designated backup for Client Relations, providing coverage as needed (e.g., when a Client Relations team member is out sick or on vacation).
Responsibilities for both support positions:

Client Services:
Prepare packets for advisor appointments/meetings with clients Scan client documentation Update and/or create cases in Salesforce Manage, organize and/or consolidate client documents or files Assist advisors with client meetings and/or updating/tracking client data Notary services for Advisors/clients (must have/obtain credentials following hire) Fulfill client servicing requests such as Wire or ACH funds, check requests or any other document requests Process account maintenance requests such as address and email changes Review paperwork to ensure documents are complete and submit to custodians, as needed Enter client information and data into Salesforce (new account information, set service cases, etc.) Assist clients with online access to view accounts Update eMoney planning software with changes (e.g., transfers, new accounts, money movement) Upload documents into on-line storage website (e.g., Net Documents) -
Client Relations:
Greet & engage with prospective new and existing clients (establish a rapport and build relationships) Answer telephones and transfer calls Schedule and/or assist with client appointments (via telephone, email and in person) Receive, scan and process incoming and outgoing mail Assist with client and/or other events Various administrative and office support duties, as needed (e.g., ordering supplies) Additional and potential responsibilities may include: Create & send out appointment confirmations for prospective clients and course registrants Assist with Operations/Compliance duties (e.g., tracking, downloads, reports, etc.) Support and assist with classes/workshops, including class set-up, course registrations, preparation of materials (e.g., rosters, cards, books and handouts) Contact current or prospective clients regarding client events, upcoming classes, etc. Assume increased responsibilities, such as the preparation of applications, handling transfer paperwork & agreements, and assisting clients with online access, rollovers, or other client-related processes
Requirements:
Bachelor's degree in business, finance or related field Some prior financial planning experience or the financial services industry knowledge preferred Experienced user of Fidelity Wealthscape or Charles Schwab Institutional preferred Notary (may be required to obtain credentials if hired) Salesforce CRM experience is a plus. Proficient in Microsoft Word, Excel, and Outlook. Customer-service oriented Strong attention-to-detail Must be able to multitask and prioritize fluctuating workloads Capable of managing time and handling multiple demands and competing priorities Ability to effectively and accurately complete detailed work with a sense of urgency Ability to work independently and take initiative Excellent verbal and written communication skills
