In this vital role, you will serve as the first point of contact for clients and visitors, ensuring smooth office operations and exceptional service delivery. Your energetic approach and attention to detail will help foster positive relationships, streamline administrative processes, and support our commitment to client satisfaction. Responsibilities Greet clients, visitors, and vendors with professionalism and a friendly demeanor at the front desk. Manage calls, answer inquiries, direct calls efficiently, and take detailed messages. Schedule appointments, coordinate calendar management, and assist with meeting preparations. Maintain accurate data entry, filing systems, and manage correspondence using Microsoft Office and Google Workspace tools. Support office management tasks such as supply inventory, document proofreading, witnessing signings and record keeping. Provide exceptional customer support by addressing client questions promptly and courteously. Assist with clerical duties including typing reports, organizing files, and handling incoming/outgoing mail. Requirements Proven office experience with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent phone etiquette with experience managing multi-line phone systems. Bilingual abilities are highly desirable to serve diverse client needs effectively. Strong computer literacy including data entry, proofreading, and general clerical tasks. Prior experience in customer service or administrative support roles such as a legal receptionist (or other professional environment) is a plus. Ability to handle multiple priorities efficiently with excellent time management skills. Must have a valid drivers license and reliable transportation.
