The Client Service Representative (CSR) serves as the first point of contact for HSBV's veterinary hospital, providing client support, answering calls, scheduling appointments, and communicating important information to clients about their pet's medical care. The representative is also responsible for maintaining patient records, data entry, payment transactions, and daily receipts. The client service team is a critical component of the hospital staff and works closely with our medical team to support clients, patients, and each other. The hospital is open to the public Monday - Saturday and this role includes a regularly scheduled weekly Saturday shift. Summary of Responsibilities Veterinary Hospital Front Desk Operations & Client Service Schedules and confirms veterinary appointments; follows up with clients who have missed appointments. Informs clients of the procedures to be followed prior to hospitalization or surgical procedures. Accurately maintains and updates electronic records on all patients and clients, documents client calls. Receives and releases all animals at the hospital for surgery and completes the necessary paperwork. Responsible for cash register transactions, completes daily and monthly reports on activities as needed or assigned. Works with clients on financial options for managing veterinary bills. May assist with preparing payment plans, offering payment alternatives, and qualifying clients for Safety Net Services (including the SHARE low-income discount program). Works with and maintains data accuracy in a variety of applications and software specific to the veterinary hospital including AVImark, PetDesk, VetConnect+, EVE, DocuPet, and VetsFirstChoice. Issues rabies vaccination certificates, medical record charts, and verification of vaccines. Performs opening and closing duties including cash reconciliation, door security, file organization, retrieving phone messages, and desk/lobby housekeeping. Stocks clinic retail items including prescription foods and over the counter medications. Service and Support Takes an active role in educating clients about HSBV programs and services. Provides resources and referrals for assistance with animal welfare-related topics such as responsible pet ownership, training, health, and/or behavior concerns. Actively promotes HSBV's mission, services, programs, special events, fundraising efforts, and donor opportunities when practicable. Represents HSBV in a professional and courteous manner at all times. Provides quality service to people and animal clients, volunteers, and employees recognizing their individual contributions to the success of the organization. Integrates and supports the volunteers who donate their time to the clinic and foster programs as well as other volunteers involved in the operations of the hospital. Informs management of developments that may affect HSBV or the department including client concerns and personnel issues. Elevates client concerns to the manager as appropriate. Attends and participates in HSBV training programs as assigned. What We Offer The anticipated starting pay rate for this position is $19.00 per hour with an additional $2.00 per hour paid for hours worked on weekends. Additional compensation is available for qualified employees who can translate for our Spanish-speaking clientele. This pay rate is the Humane Society of Boulder Valley's best estimate for this role and actual compensation will be based on factors including but not limited to the depth and extent of relevant experience, additional training/certifications for preferred skills, and education. Intermediate computer skills and comfort working in Microsoft Office and veterinary hospital software; experience with AVImark and related platforms helpful. Ability to navigate multiple clients and animal patients with varied needs in a busy, dynamic work environment while maintaining accuracy, organization, and follow-through. Demonstrated initiative, attention to detail, dependability, and conscientious work habits. Exercises sound judgment when working with the public, addressing animal-related concerns, escalating client concerns appropriately.
Working Conditions:
Work is performed in a veterinary hospital setting. Exposure to disinfectant solutions when in hospital or kennel areas. Subject to animal bites and scratches while handling animals of questionable temperament. Occasional lifting of up to 50 pounds.
