Client Service Coordinator Castle Rock, CO | Monday-Friday | 7:00 AM - 3:30 PM $25-$32/hour DOE | Full-Time (On-Site) Help Keep Operations Moving Behind the Scenes We're growing — and looking for someone who thrives on organization, communication, and keeping moving pieces aligned. The Client Service Coordinator plays a critical role in supporting our Service Department, customers, technicians, and leadership team to ensure projects, service calls, documentation, scheduling, and communication all stay on track. You'll work directly alongside leadership while gaining exposure to service operations, project coordination, customer support, scheduling, invoicing, and internal operations within a collaborative, team-oriented environment. What You'll Be Doing Service Coordination & Customer Support Monitor incoming service emails and voicemails Coordinate customer requests and create service cases Generate sales orders for service calls and related work Confirm daily service appointments with customers Assist with scheduling technicians and coordinating service needs Communicate with customers, technicians, accounting, aftermarket, and internal departments Help keep jobs moving efficiently from start to finish Documentation & Administrative Support Maintain accurate records and service documentation Prepare and organize technician job packets Enter technician time into internal tracking systems Gather information required for customer jobsite access and badge clearances Request and manage Certificates of Insurance (COIs) Maintain company licenses, registrations, and insurance records Ensure documentation stays organized, complete, and up to date Invoicing & Project Closeout Invoice completed service calls and projects Submit billing documentation to customers Coordinate with Accounting regarding billing updates and job status Assist with technician part returns and project closeout support Communicate updates regarding unused or unnecessary parts What We're Looking For The ideal person for this role is: Highly organized and detail-oriented Comfortable juggling multiple priorities throughout the day Professional and responsive with both customers and coworkers Adaptable when schedules or priorities shift unexpectedly Calm under pressure and solution-oriented Motivated to learn and grow long term Someone who values understanding existing processes before changing them Experience That Helps Coordination, dispatching, administrative, customer service, or project support experience Experience working in construction, mechanical, service, manufacturing, or field-service environments is highly preferred Strong Microsoft Office & Excel skills Prior experience using Netsuite Excellent communication and follow-through Ability to learn internal systems quickly Team-oriented mindset with a willingness to jump in wherever needed Why This Opportunity Stands Out This is an evolving role with real long-term growth potential for the right individual.
