We are currently in a phase of growth and process professionalization, and we are seeking an organized, responsible, and service-oriented individual who wants to grow alongside us. Position Objective Serve as the first point of contact and follow-up for our clients, ensuring a professional, organized, and efficient experience throughout every interaction. The person in this role will be responsible for coordinating documentation, following up on requests, maintaining accurate information, and supporting the effective execution of our internal processes. Key ResponsibilitiesCustomer Service & Support Welcome and assist clients in person, by phone, and through digital channels. Provide timely follow-up on client requests and pending items. Maintain ongoing communication with clients throughout their processes. Schedule and coordinate appointments. Ensure a positive customer experience for every client. Administrative Management Create and maintain physical and digital client files. Request and track required documentation. Update information in CRM systems and internal databases. Prepare administrative documentation for various services. Maintain organized and complete records. Operational Follow-Up Verify that each client file progresses properly through the process. Follow up on internal and external pending items. Assist with monitoring insurance, tax, and administrative service processes. Escalate situations requiring additional support in a timely manner. Participate in follow-up meetings and continuous improvement initiatives. Requirements Fluent in English and Spanish (required). Minimum of 2 years of experience in customer service, administration, or client-facing roles. Proficiency in Microsoft Office and Google Workspace. Comfortable working with digital systems and CRM platforms. Excellent verbal and written communication skills. Ability to manage multiple tasks simultaneously. Experience in insurance, tax services, or professional services preferred. Property & Casualty License preferred. Experience with QuickBooks preferred. Success Metrics Performance will be evaluated based on: Customer response time. Accuracy and completeness of client files. Timely follow-up on pending items.
