Lead Customer Service Associate GENERAL PURPOSE
Performs a variety of lead worker customer service and cash handling duties at the Ouray Hot Springs Pool and Box Canon as needed to help ensure efficient daily operations of front desk services. Acting supervisor in the absence of Assistant Pool Manager and Pool Manager. SUPERVISION RECEIVED
Works under the general supervision of the Hot Springs Supervisor. SUPERVISION EXERCISED
Provides close to general supervision to Pool Customer Service Associate(s). ESSENTIAL FUNCTIONS
General Administration :
Performs general coordination of cashier functions, duties and operations; monitors the situational needs to ensure adequate number of cashiers; manages staffing needs, i.e.calls in extra cashiers or sending cashiers home, as necessary; assists & monitors cashier attendance as it relates to punctuality and consistent attendance; ensures that cashiers are appropriately clocked in/out of the time clock; ensures individual cashiers complete proper daily maintenance and cashier functions; monitors individual cashier compliance with policy for wearing proper uniform attire while on shift. Performs daily updates to social media streams postings apprising the public of pool and environmental conditions, including pool temperatures and weather forecasts. Performs varied clerical, filing and reception duties; maintains and inventories lost and found items; responsible for follow-up with claimed lost and found items; maintains complete inventory of all general admission passes, office supplies and cleaning supplies; makes Pool Manager aware of any needs. Attends all staff meetings, in-services and training sessions; assists the management team in preparing monthly in-services; assists with cashier training and orientation; oversees and maintains class registrations for public and private classes. Performs stewardship projects and helps during pool shut downs; responds to emergency situations, takes proper safety precautions, anticipates unsafe circumstances, and acts accordingly to prevent accidents; responsible for the safety of self, others, materials, and equipment; uses all required safety equipment and follows all safety regulations, policies and procedures; implements the operational and emergency plan as necessary; completes incident reports immediately after an occurrence and submits reports to the Pool Manager for review. POS/Memberships :
Ensures accuracy of data input related to membership and gym card purchases; performs and monitors proper membership processing; oversees utilization of gym card database; oversees and performs processing of refunds, completes appropriate request forms and follows established processes and procedures according to policy. Reconciles pool "point of sale" (POS) transactions monthly and generates report. Processes refund requests. Customer Service :
Communicates honestly, effectively and respectfully with members of the general public; properly conveys the rules, policies and programs of the pool; performs receptionist duties such as checking voicemails and answering telephone calls; maintains a general knowledge of the City including surrounding recreational, dining and other opportunities; responds to inquiries, complaints and suggestions. Maintains supply of information resources including brochures, pamphlets, etc.; assists patrons with information regarding local attractions, recreational services and venues; directs patrons to various local establishments, retail outlets and eateries; assists patrons with lost and found. Financial Functions:
Monitors and maintains daily cash flow; performs reconciliation of receipts; prepares various data entry records and reports; assists with bank deposits and ensures accuracy of deposit instruments and makes bank runs; performs daily collection of locker rental revenues and deposits with Pool Manager. Cashiering :
Receives money for the payment of daily admissions, membership fees, rental fees and merchandise; computes amount due, returns correct change and issues receipt of payment; assures checks are complete and correct. Performs daily shift closeout of register; balances cashier drawer; prepares bank deposit; receipts collection of credit card transactions. Maintenance :
Ensures that the facilities equipment functions properly and is in good repair; responsible for care and maintenance of work area; ensures that the lobby environment is kept in a clean and safe condition at all times; remains generally alert to conditions and events occurring in and around city facilities indicating anticipated or needed maintenance and repairs; notes and anticipates maintenance issues; makes the Pool Manager aware of any maintenance concerns. Housekeeping :
Performs scheduled upkeep and maintenance of facility; cleans floors, walls, windows, water equipment, etc.; cleans and polishes; operates vacuum to clean carpeted areas; sweeps and dusts; monitors general activities of facility to assure safety. Performs related duties as required. MINIMUM QUALIFICATIONS 1.
Education and Experience:
A. Graduation from high school or GED; AND B. Two (2) years of experience performing above or related duties; 2. Knowledge, Skills, and Abilities:
Working knowledge of basic mathematics related to cashiering and changing money; point of sale (POS) system; basic interpersonal communication skills; basic First Aid. Clerical and office practices, procedures and equipment; computer usage and programs that include but are not limited to Microsoft Excel, Word, and other related programs as needed; current office practices and procedures; telephone etiquette. Some knowledge of administrative procedures; public relations and interpersonal communication skills; basic bookkeeping. Skill in computer keyboard operations. Ability to operate point of sale system; establish and maintain effective working relationships with employees, the public, ability to communicate effectively, verbally and in writing exercise initiative, independent judgment and to act resourcefully under varying conditions; communicate effectively verbally and in writing; perform general bookkeeping; establish and maintain comprehensive records and files. 3. Special Qualifications:
This position requires evening, week-end, and holiday shifts. 4. Work Environment:
Workers perform in a climate controlled environment. Tasks require variety of physical activities, generally involving limited muscular strain, such as walking, standing, stooping, sitting, and reaching. Talking, hearing and seeing essential to job performance. Common eye, hand, finger dexterity necessary in performance of essential duties.
