Job Description

About the Role We are seeking a highly organized, detail-oriented Registered Client Service Associate to join our growing wealth management team. This individual will serve as a key point of contact for clients, financial advisors, custodians, and professional partners while helping deliver an exceptional client experience. The ideal candidate is proactive, client-focused, and thrives in a fast-paced environment requiring strong analytical and problem-solving skills. Key Responsibilities Client Service & Relationship Management Serve as the primary liaison between clients and their assigned financial advisor. Build and maintain strong relationships with clients, vendors, custodians, attorneys, CPAs, and referral sources. Respond promptly to client inquiries and requests, conducting research and resolving issues as needed. Handle client requests regarding account statements, money transfers, address changes, distributions, and other account-related matters. Provide exceptional service throughout the client lifecycle, including onboarding, ongoing service, and client events. Account Administration & Operations Prepare, process, and track account openings, transfers, updates, and closures. Process a variety of client transactions, including money movements, transfers, Required Minimum Distributions (RMDs), and other account maintenance requests. Coordinate with financial custodians to ensure timely and accurate completion of transactions. Monitor submitted paperwork and follow through to confirm receipt and completion. Communicate money movement requests and related activity to advisors and notify advisors when trades may be required. Client Meetings & Administrative Support Schedule and coordinate client meetings, including preparation of agendas, reports, and presentation materials. Assist with meeting documentation, follow-up items, and ongoing client service tasks. Support quarterly reporting processes and internal administrative meetings. Assist with planning and coordinating client appreciation and educational events. Compliance & Recordkeeping Maintain accurate client records and communication logs within the CRM system. Ensure all activities are completed in accordance with firm policies and regulatory requirements. Learn and effectively communicate IRS rules and regulations related to IRAs and retirement accounts. Enter and track new investment submissions and onboarding documentation. Qualifications FINRA Series 7 and Series 66 (or equivalent registrations) preferred. Previous experience in wealth management, financial services, brokerage operations, or client service. Strong analytical and problem-solving abilities. Exceptional attention to detail and organizational skills. Excellent verbal and written communication skills. Ability to manage multiple priorities while maintaining accuracy and professionalism. Proficiency with CRM systems, Microsoft Office, and financial services technology platforms. Strong commitment to delivering a superior client experience.
