Job Description

Overview We are a Christian-based plumbing company seeking a highly organized and efficient Plumbing Secretary to support our administrative operations. Our mission is to serve our community with integrity, excellence, and Christian values. The ideal candidate will embody these principles while serving as the first point of contact for customers, coordinating schedules, handling clerical tasks, and ensuring smooth communication between office staff and field technicians. This role requires excellent customer service skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, faith-based environment. Responsibilities Respond to customer inquiries via phone, email, and chat in a timely and professional manner Maintain accurate records of customer interactions and transactions in ServiceTitan Generate and distribute weekly performance reports including customer satisfaction metrics, response times, and scheduling efficiency Compile weekly technician scheduling reports to optimize route efficiency Create weekly accounts receivable status reports for management review Perform data entry tasks and detailed note-taking to update customer information Proofread all communications to ensure clarity and professionalism Manage calendars for scheduling appointments and customer follow-ups Communicate effectively with technicians to relay job details, updates, and changes Assist with clerical tasks such as filing and organizing documents Demonstrate effective time management skills to handle multiple priorities efficiently Other tasks as required Requirements High school diploma or equivalent required; Associate's degree in business administration or related field preferred 2+ years of administrative or customer service experience preferred Strong organizational skills with proven ability to manage time effectively Proficient in data entry with a high level of accuracy Experience with ServiceTitan Field Service Management software preferred (training provided) Proficient in Microsoft Office Suite, particularly Excel and Outlook Basic understanding of plumbing terminology preferred (training provided) Excellent proofreading capabilities to ensure error-free communication Exceptional phone etiquette and interpersonal skills Demonstrated ability to manage calendars and complex scheduling Join our dynamic team where your organizational skills and customer focus will make a meaningful impact on our success.
