Veterinary Client Service Representative

We're searching for an experienced Client Service Representative (CSR) who enjoys building relationships, helping others, and being part of a team-focused environment. As the first friendly face clients see and the reassuring voice they hear on the phone, you'll play an important role in every visit. You'll work alongside four veterinarians and a talented support team of veterinary assistants and CSRs, helping clients feel informed, supported, and cared for from check-in to checkout. What You'll Do:

As a Client Service Representative, your responsibilities will include:

Appointment Management:

Schedule and confirm appointments using AVA, Pulse, and other clinic systems.

Client Communication:

Answer phones promptly and professionally; assist clients with questions, scheduling, and follow-ups.

Patient Intake & Discharge:

Set up new client/patient records accurately; admit and discharge patients with care and compassion.

Medical Records:

Prepare, update, and maintain patient records through filing and scanning.

Financial Transactions:

Process payments, handle over-the-counter sales, and balance the cash drawer at the start and end of each day.

Pet Prime Plan Education:

Inform clients about our Pet Prime wellness plans and assist with enrollment or inquiries.

Administrative Support:

Help with mailings, data entry, filing, and general computer tasks as needed.

Reception Area Upkeep:

Keep the front desk area tidy, organized, and welcoming for every client and pet.

Qualifications:

High school diploma or equivalent is required. Previous experience in a receptionist, administrative, or customer service role preferred. Experience in a veterinary setting is a plus. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Proficient in basic computer skills. Ability to remain calm and compassionate in stressful situations. Love for animals and commitment to their care.
