Job Description

The Service Writer serves as the primary liaison between department personnel and the fleet maintenance team, ensuring efficient communication, accurate work orders, and timely repairs for a diverse fleet that includes light- and heavy-duty vehicles, specialized equipment, and various machinery used across City departments. The individual in this position coordinates and schedules routine maintenance services and emergent service requests.

Essential duties include the following: Serves as the first point of contact for department operators or representatives requesting vehicle or equipment maintenance or repair. Schedules service appointments and coordinates with technicians to prioritize work based on operational needs. Documents reported problems or issues with the particular piece of fleet as told by the department representative or operator. Details diagnostic findings, repair needs, labor hours and parts used based on reports from the servicing technician. Creates, updates, and closes work orders in the fleet management system. Communicates repair status updates and estimates to department representatives. Assists with maintaining vehicle maintenance history and inspection records for operational readiness, compliance and audit purposes. Performs related duties.
