This is a fast-paced, communication-heavy role ideal for someone who thrives on multitasking and keeping both clients and our medical team connected and informed. This position is based in our dedicated phone room , where you'll be the voice of the clinic—handling all incoming calls, managing voicemails, coordinating appointments, and serving as a key communication hub for clients, veterinarians, and staff.

Key Responsibilities:

Answer and manage a high volume of incoming phone calls with empathy, clarity, and professionalism Handle multiple screens and systems simultaneously while navigating Vetter software to schedule appointments and manage clinic flow Communicate with clients through PetDesk for digital messaging, appointment reminders, and prescription follow-ups Maintain and track all voicemails using a structured voicemail log , ensuring timely follow-up on every message Act as a central point of contact for relaying messages and coordinating between veterinarians, technicians, and assistants Keep client and patient records accurate and up-to-date Support refill approvals, answer general service questions, and resolve scheduling conflicts as needed Conduct administrative and inventory tasks as needed Bring a thorough, detail-oriented approach to every client interaction and task Other duties as assigned

Requirements:

High school diploma required Prior experience in a veterinary clinic, medical office, or busy customer service role strongly preferred Exceptional verbal communication skills and confidence handling a high volume of interactions Ability to multitask and prioritize in a dynamic, fast-paced environment Tech-savvy and comfortable managing multiple software platforms and digital tools Detail-oriented and calm under pressure Familiarity with DaySmart , PetDesk , and structured voicemail tracking is a plus If you're passionate about helping pets and people, and love being at the heart of a team through strong communication and multitasking, this could be a great fit for you!
